Position Summary:
The Purchasing Clerk oversees procurement operations, accounts payable, accounts receivable, and payroll activities. This role demands meticulous record-keeping, adept vendor management, financial reconciliation, and seamless collaboration with internal departments to optimize purchasing and payment processes.


Essential Duties:

  • Process and track purchase agency orders, ensuring timely and accurate procurement of goods and services.
  • Maintain meticulous records of purchases, pricing, and inventory levels while nurturing vendor relationships.
  • Conduct thorough Office of Inspector General (OIG) checks on all vendors.
  • Review, verify, and process vendor invoices, ensuring accuracy and timely payment.
  • Reconcile vendor statements and promptly resolve discrepancies.
  • Supervise agency office supplies, ordering, and inventory, including overseeing maintenance of copy machines.
  • Assist with accounts receivable duties, including invoicing and collection activities.
  • Prepare and process payroll accurately and on time.
  • Maintain up-to-date records of financial transactions and purchasing activities.
  • Collaborate with other departments to streamline purchasing and payment processes.

Qualifications:

  • High school diploma or equivalent; Associate degree in accounting or related field preferred.
  • Proven experience in purchasing, accounts payable, accounts receivable, and payroll functions.
  • Proficiency in MS Office, especially Excel, and familiarity with accounting software.
  • Strong organizational skills with meticulous attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and thrive in a fast-paced environment.
  • Knowledge of financial regulations and compliance standards.
  • Capability to work both independently and collaboratively.
  • Physical ability to lift 25-30 lb. items, sit for extended periods, and handle stress.
  • Availability to travel locally, make purchases, and run errands.
  • Successful completion of a criminal background check, OIG check, and pre-employment UA/BA.
