Job Description
About the Role:
As the Accounts Payable Specialist, you will be responsible for processing various types of accounts payable transactions (i.e., vendor invoices and check request vouchers). Responsibilities also include maintaining vendor accounts by responding to vendor inquiries, researching, and resolving invoice discrepancies, reviewing vendor statements, and exception analysis and resolution. Processing payments in the form of wires, ACH, and manual checks is an important aspect of this position.
Your Responsibilities:
- Review and maintain vendor accounts (i.e., vendor debits, GRIR balance review, etc.).
- Process invoices and credit notes timely and accurately.
- Research and resolve a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.
- Respond to all vendor inquiries, research problem invoices, past due amounts, credits, etc.
- Research and resolve invoice exceptions.
- Contribute to the continuous improvement of the source to pay process by identifying opportunities to streamline processes and maximize efficiencies.
- Reconcile vendor statements, research, and correct discrepancies.
- Retrieve Accounts Payable supporting documents for internal and external audit.
- Document current processes, define gaps and recommend standardized processes.
- Process payments in the form of wires, ACH, and manual checks.
- Reconcile G/L Accounts.
- Assist in 1099 preparation
- Other duties as assigned
Let's Talk About Your Qualifications:
- Associate degree (Preferred Major: Accounting) or Trade/Technical school.
- Minimum 1-3 years of experience in accounting or related field.
- Proficiency in Microsoft Office products including Excel.
- SAP knowledge and experience is highly preferred; other ERP experience considered.
- Ability to learn and understand other systems that integrate within Accounts Payable.
- Experience with general ledger systems and comfortable learning new systems.
- Detail-oriented and self-motivated with superior time management is essential.
- Strong analytical and critical thinking skills.
- Strong problem solving and research skills.
- Ability to work in a fast-paced and high-volume environment with emphasis on accuracy and efficiency.
- Excellent organizational skills, ability to multi-task, prioritize and work with a sense of urgency.
- Desire to review processes and improve as well as streamline existing processes.
- Excellent communication skills and the ability to work well with a team.
- Ability to interface professionally with all levels within the organization and with external vendors
