Summary of the Job:
The responsibilities of the clerical assistant include answering and directing calls, sorting the daily mail, maintaining filing systems, and typing up forms and other copy. To be a successful clerical assistant, you should have excellent organizational and administrative skills.

Job Duties & Responsibilities:
  • Assist in overseeing the day-to-day operations of the Geriatrics clinic including but not limited to daily huddles, optimal usage of space for room assignments, provider template changes, assess any staffing issues, referrals for specialty services within facility and/or NYC Health + Hospitals sites.
  • Monitor daily activities including patient flow.
  • Participate in the weekly Primary Care Clinic leadership (Medical Director, Clinic Administrator, Chief Resident, Lead Nurse and Clinic Manger) to discuss updates on clinic volume, template issues, med refill issues, etc.
  • Primary template manager to maintain and balance Provider templates and schedules.
  • Submit requisition supplies and track inventory (i.e., prescription paper, cartridges, duplication of forms, etc.) in the absence of the Procurement Manager.
  • Weekly submission of Patient Care Gap reports.
  • Generate monthly reports and monitors panel 'quotas' as appropriate.
  • Participate in the development of strategies to improve performance (i.e., reduce patient cycle time, improve access, decrease wait time, improve patient experience).
  • Collect and maintain data for the purpose of measuring performance as follows:
  • Daily and Monthly TNAA Report
  • Daily and Monthly New Provider Capacity Report
  • Other reports as needed.
  • Attend/participate in departmental meetings: i.e.: Staff Meetings, Ambulatory Care Clinical Service Line, Ambulatory Care Expanded Team, Hospital-Wide, Improvement Events, etc.
  • Assist with new hires placement: room assignment, and request access for systems as needed (i.e., EPIC H20, Outlook, Microsoft Network).
  • Assist and troubleshoot Service/Clinic/Program operational issues: i.e.: reports systems failure to IT, replaces cartridges, etc.
  • Provide consistent support to staff to ensure compliance with standard work (i.e., open visit, navigate the patient line, answer the telephones by the third ring, and monitor front line to ensure a maximum of three (3) patients stand on the line at a given time.)
  • Address patient issues/complaints in real time prior to escalating to administrator/patient advocacy. Investigate patient issues or complaints from patient advocacy and take responsibility for service recovery (i.e., contact patient to apologize for their negative experience).
  • Ensure clerical staff consistently meet patient experience standard including tone, body language and attitude, and display caring actions even in stressful situations when communicating with patients, visitors and peers.
  • Act as a liaison between patients and caregivers within service and other hospital services.
  • Maintain a safe environment for patients by ensuring the enforcement of safety policies; attend continuing education programs/training as scheduled; assist in the proper handling of patients' protected health information to ensure HIPAA compliance.
  • Conduct environmental, safety and patient rounds to proactively identify and resolve issues.
  • Obtain authorizations for prescriptions and other procedures as needed.
  • Work collaboratively with the PCAs to ensure adequate prescription paper and other supplies are available in the exam and preceptor rooms at all times.
  • Monitor EPIC H2O Compliance (i.e.., ensures patients are "checked-in" and "checked-out" and that the "no-shows" are checked in EPIC H2O).
  • Perform moderately difficult data entry and retrieval using a computer and/or supervises and instructs staff in such routine functions.
  • Assist in improving care delivery through the participation in performance improvement projects.
  • Comply with departmental and organizational policies and procedures.
  • Complete annual regulatory requirements within established time frames.

Qualifications/Requirements:
  • High School Diploma/ GED; Prior medical office experience and knowledge of medical terminology preferred.

Knowledge, Skills, Abilities:
  • 2 years of relevant experience.
  • Bilingual in Spanish.

Shift/Schedule:
  • Monday all day 8:30am- 4:30pm 1 hour lunch
  • Tuesday morning 9am-1pm
  • Thursday afternoon 1pm-5pm
  • Friday morning 9am-1pm

Contract Length:
  • 19 weeks
