Summary/Objective of the Leasing and Resident Associate

The Leasing and Resident Associate is the primary point of contact for residents and prospective residents of Mayroad housing units; initiates and maintains contact with prospective and current residents, including customer service, completion of lease documents, follow-ups on work order requests, marketing, resident events, and preparation for transitions both in and out of resident units

Essential Functions of the Leasing and Resident Associate

  • Actively promotes and leases all available units; meets and maintains budgeted occupancy goals by managing the wait list
  • Provides excellent customer support to current, future, and past residents; greets visitors to the office; answers phone contacts and follows up in a professional manner
  • Compiles and submits orders for leasing and resident management functions; uses property management software, such as RealPage, and e-mails to submit, track and follow up on work orders
  • Uses Realync app to create virtual tour videos and to create tips and tricks for residents for maintenance issues
  • Provides customer support and assists the Leasing and Resident Manager in meeting resident occupancy goals
  • Serves as the first point of contact for people calling or visiting the community office; directs individuals to the appropriate resources.
  • Assists the Leasing and Resident Manager with planning and supporting resident functions, advertising and marketing, leasing income, damage incomes, employee resources, and office supplies
  • Assists in recouping outstanding lease and/or damage balances from former occupants before accounts go into default status
  • Coordinates Requests for Accommodations from residents to Leasing and Resident Manager for approval
  • Ensures all lease paperwork for move-ins/move-outs are signed and correct; compiles moveout charges to ensure all moveouts are being charged correctly
  • Plans, coordinates, executes resident events and activities; contacts vendors, obtains supplies, creates, and promotes advertising, and leads the events as needed
  • Sends out all approved resident communications, both written and digital, to include announcements, advertisements, updates, etc.; as directed by the Leasing & Resident Manager; assists with social media for resident news and activities
  • Creates and sends out weekly notifications for pest control and preventative maintenance inspections if needed
  • Responds and follows up on resident issues, including maintenance requests and new move-in logistics
  • Performs weekly neighborhood drive-throughs to identify compliance issues and ensure residents are following the Residence Responsibility Guide and follows up if needed
  • Performs home inspections/walkthroughs prior to each occupancy/move-in to ensure compliance and readiness before handing the property over to the new resident
  • Performs minor touch-up cleaning of homes to ensure homes are move-in ready prior to resident occupancy
  • Conducts newcomers and move-out briefings for residents
  • Assists Leasing and Resident Manager with training incoming office personnel
  • This position is deemed Key & Essential and, as such, may be required to work onsite beforehand, during, and after any accident, emergency, or disaster in order to best protect and care for our residents and assets
  • Performs other job-related duties as assigned

Required Qualifications of the Leasing and Resident Associate
  • EDUCATION REQUIREMENT - High School graduate or GED
  • 2+ years of experience in property management, customer service, or related industry
Knowledge, Skills & Abilities of the Leasing and Resident Associate
  • Familiar with/able to use property management software, such as RealPage, Entrata, etc.
  • Proficient with MS Office Software, including MS Word, Excel, Outlook
  • Excellent verbal and written communication and presentation skills
  • Ability to work independently without significant oversight of responsibilities
  • Comfortable working and communicating with employees and residents at all levels
  • Excellent teamwork focus
  • Excellent organizational skills
  • Basic financial skills to ensure proper accounting and documentation of residency management
  • Ability to analyze and perform self-audits to identify and fix discrepancies
  • Ability to multi-task in a demanding environment
  • Ability to pass a state and federal background check to obtain access to the installation; ability to pass a 12-panel pre-employment drug test
  • Valid driver's license; must be able to meet a Motor Vehicle Review in accordance with Company policy; Note: Employee will be required to use personal vehicle for on-the-job transportation
  • Ability to communicate with associates and customers

Work Environment
While performing the duties of this job, the employee regularly works in an office setting and out in the local community. Job includes regular driving and mobility in the local residential community. While performing the duties of this position, employees may occasionally be exposed to environmental hazards, such as extremes in heat/cold, humidity, and moisture, as well as hazards associated with residential visits and inspection activities.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods and the use of hands/fingers is common. Hearing and vision within normal ranges is helpful for normal conversations, receiving ordinary information, and to prepare or inspect documents.

Some heavy lifting is expected. Exertion of up to 30 lbs. of force may occasionally be required. While performing the duties of this job, good manual dexterity for the use of common office equipment such as computer terminals, calculators, and copiers is needed. The employee is frequently required to walk. May be required occasionally to reach, stoop, grasp, kneel, and crouch.
