We are seeking a Coordinator to join our team at our White Plains, NY location. The Waitlist Coordinator will be responsible for the day to day compilation of waitlists, coordination of activities related to the opening and closing of the waitlists, and updating waiting lists as required under the Housing Choice Voucher program. The Coordinator must have knowledge of HUD regulations, local and state laws, and policies and procedures as required. This position will be responsible for managing the Waitlist Clerk(s). The successful candidate should be a critical thinker, a strong communicator (both written and verbal) and have the ability to manage multiple tasks and deadlines simultaneously.
Responsibilities
Manage all Waitlists (HCV and PBV site based) according to HUD regulations and HCR Administrative Plan.
Develop processes, procedures and tracking relative to selection from all Waitlists.
Process removals of all ineligible applicants (PBV & HCV) from all waiting lists
Perform monthly /quarterly mailing to top of list applicants
Address extremely complex and difficult questions or factual issues involving interpretation and application of statutes, rules, regulations, or policies.
Supervise and manage administrative waitlist clerk(s).
Perform Informal Reviews
Process opening and closing of Waitlists as required by HUD and Administrative Plan
Coordinate and develop procedures/activities required for updating and soliciting Wait Lists.
Actively participate in on-going communication with PBV sites via email, conference calls and on-site activities when required.
Manage SharePoint activities relative to Waitlist, updating HUD Forms, intermediate between IT and operations.
Update Initial Briefing Video and all internal recert, move and briefing packets on a regular basis.
Monthly reporting on all wait list, SharePoint and various activities
Update the Project Based Voucher Monthly Report
Perform word processing, database management, copying, printing, scanning, filing, mailing, tracking and other administrative functions and tasks as needed.
*All other duties as assigned.
Qualifications/Experience
Bachelor’s degree and two years of professional progressively responsible experience in a related field.
OR
Work in fields such as administrative project management, property management, public assistance, human service, or affordable housing.
