We enable distributors to work smarter, save time, and free up resources to focus on professional and personal goals. We are looking to add an Associate Marketing Event Coordinator to our Appleton, WI team.

The Marketing Event Coordinator is responsible for helping manage all AIA events and ensuring deadlines are adhered to. This individual will help coordinate the logistics and activities leading up to and including days of events. This position will be in charge of event logistics and budget including, but not limited to, coordinating travel with AIA sales affiliates, suppliers, and employees, tracking attendance, transportation and av details, working with marketing and/or advertising of the events, and networking with industry professionals.

**Marketing Event Coordinator Responsibilities:**

**Planning and Execution of Events**

* Assist with the development of show/event strategies, reflective of sales, marketing goals and budget. Collaborate with and manage external vendors on creative services, audio/visual coordination, and speaker management.

* Work with the marketing team to develop event themes and branding.

* Propose allocation of yearly budget to each event known for the year.

* Coordinate services for events, such as catering, signage, displays, special needs requirements, printing, and event security.

* Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.

* Utilize project management tools to manage event details.

* Maintaining a working relationship with vendors and venues.

* Coordinating event entertainment, including music, performers, and guest speakers.

* Managing and overseeing events on the day of, including problem-solving, welcoming guests, event set-up, communicating with staff, organizing vendors, and managing take-down.

* Review event bills to ensure alignment with budget and manage payment process.

* Manage post-mortems after each event for changes required for all future events for best-in-class event planning and execution.

**Marketing Communications Strategy**

* Assist with the creation of marketing communications to promote events internally and externally.

* Ensure timely execution and production of key deliverables, including event communications and support materials.

* Collect, organize, and record event-specific and logistical data for booked events.

* Conduct post event meetings to analyze event outcomes and address issues or concerns.

**Manage the Events inBox**

* Deploy all emails regarding an event.

* Monitor requests or comments coming into the Events Inbox.

* Assigning or sharing event requests to the appropriate team member.

**Travel and Attendance**

* Coordinate accommodations and/or transportation as necessary for

* participants of corporate events. Orchestrate and collaborate with several

* event/destination management organizations, when needed, for large-scale events

* and meetings.

* Manage air travel and hotel rooming costs and

* budgets for attendees.

**Marketing Event Coordinator Requirements:**

* Associate s degree in Marketing, Hospitality or related field required

* Two years of event coordination experience preferred

* Proven track record of identifying and maximizing event opportunities

* Must be a self starter who requires little to no supervision to meet corporate goals

* Excellent time management and communication skills required
