The Human Resources (HR) Executive Assistant, reporting to Chief Human Resources Officer (CHRO), is responsible for providing comprehensive administrative support to the CHRO and HR leadership team to ensure seamless department operations.
Primary Duties and Responsibilities
  • Maintain calendars, schedule meetings and appointments, maintain and track meeting action items through completion.
  • Coordinate conferences and events, including managing logistics, catering, and room setup, that include large meetings that span multiple days, locations, and departments. Ex: lunches, training workshops, volunteer activities, annual events, town hall meetings, all employee events
  • Serve as point of contact for HR department for internal and external contacts.
  • Assist in preparation of communications, such as memos, letters, emails, reports, and presentations, including Board meeting materials preparation and distribution.
  • Book and manage travel arrangements and assist with reconciliation of expense reports.
  • Manage and process department invoices.
  • Manage and maintain memberships for HR associations and organizations.
  • Maintain electronic and manual filing systems.
  • Assist with review of monthly EOG Magazine publication.
  • HR initiatives and program administration and coordination with Payroll and other departments.
  • Outgoing mail and sort and distribute incoming correspondence.
  • Order office supplies and maintain department supply storage room.
  • Special projects as assigned.
JOB REQUIREMENTS
  • High school diploma or GED is required. Bachelor's degree in Human Resources, Business, Communications or similar discipline is preferred.
  • Minimum of 4 years in administrative duties, supporting department head and/or HR management.
  • Advanced level proficiency in Microsoft Office applications: Word, Excel, PowerPoint (ability to create dynamic and visually appealing presentations), and Outlook.
  • Ability to work in fast-paced environment and handle multiple priorities at once with superior organizational skills.
  • Must be proactive, resourceful, and intuitive to anticipate needs.
  • Exceptional verbal and written communication skills, including well-presented written materials, and proofreading and editing ability.
  • Attention to detail, accuracy, follow-through, and ability to meet deadlines.
  • Professionalism, judgment, and discretion with the ability to maintain the highest level of confidentiality.
  • Initiative and readiness to take on special projects and/or additional tasks.
