We are seeking a Project Coordinator who plays a crucial role in planning, organizing, and executing various projects. You will be responsible for the coordination of all project workflows, work assignments, quality control (QC), and will initiate revenue realization and invoice initiation within assigned projects.

Responsibilities

  • Assign and monitor resources to increase project efficiency and maximize deliverables.
  • Report project risks and outcomes to management and escalate issues if necessary.
  • Serve as point of communication between teams and external resources.
  • Set up new projects in Sharepoint.
  • Receive documentation and upload to correct locations in Sharepoint.
  • As required; monitor, populate and release project schedule to the customer and management team weekly.
  • Communicate with Operations Manager regarding projects, quality control (QC), turnaround times, and other aspects regarding the success of the project.
  • Provide oversight to subcontractors and monitor production to ensure it is turned in weekly and work is completed daily.
  • Provide all necessary job information to in-house employees and subcontractors alike.
  • Ensure subcontractor paperwork is QC’d by CCI.
  • Ensure that QC corrections are completed by subcontractor, along with any other QC feedback that is necessary.
  • Run necessary queries to compile data for project tracking purposes.
  • Create invoice backups when they are verified correct and ready to be invoiced.
  • Create and share weekly meeting notes when appropriate.
  • Compile reports for distribution to management.
  • Ensure delivery of final product to customer.
  • Work with entire business unit to ensure compliance of Field reporting, Fiber Optic Splicing and Testing is prepared and delivered in step with the invoicing process.
  • Assist in developing, reviewing, and delivering project progress reports, proposals, and other documents defined by management.
  • Ensure confidentiality of company and customer information.
  • Perform other related duties as assigned by the TFS Senior Team.

Qualifications

  • Associate degree in business administration or similar field of study preferred.
  • 2-3 years’ experience in project coordination or a similar role preferred.
  • Experience in coordinating teams and clients.
  • Ability to work collaboratively with cross-functional teams and stakeholders, both internal and external.
  • Proficient with Microsoft Office and various web-based applications.
  • Proficient with project management tools and software is desired.
  • Familiarity with project management methodologies such as Agile, Scrum, or Waterfall, is beneficial.
  • Effective problem-solver with critical-thinking abilities to address and overcome challenges that may arise during the project lifecycle.
  • Basic understanding of budgeting and financial management related to projects.
  • The uses of analytical and observational skills which demonstrate an ability to plan projects, review/recommend technical specifications, coordinate staffing needs, communicate, and manage all aspects of a project.
  • Prioritize customer requirements and ensure projects align with customer expectations.
  • Exceptional professional communication skills - both written and verbal.
  • Well-organized with a keen attention to detail with the ability to work confidently in a high-pressure/high-energy environment.
  • Ability to adapt to changes in project scope, timelines, and requirements.
  • Ability to take initiative, make decisions and handle various tasks simultaneously while working efficiently, effectively, and independently under minimal supervision.
  • Strong ability to prioritize tasks and manage time effectively.
  • Ability and willingness to learn new product lines and technologies to serve the departmental needs and goals.

Shift is Monday-Friday between the hours of 8:00 a.m. to 5:00 p.m. CST but must be able to work outside normal business hours when required.
