Job Summary

MyCare Medical Group is looking for someone who is interested in being part of a dynamic team that focuses on excellent service to others while handling clerical, environmental, and organizational tasks.  The Front Office/Referral Coordinator will play a crucial role in ensuring a seamless experience for patients and visitors. This position encompasses responsibilities from both Front Office Coordination and Referral Coordination, requiring a dynamic individual who can handle receptionist duties while also managing the referral process efficiently. 

Job Responsibilities: 

  • Greet all patients and visitors warmly, directing them to the appropriate locations and providing general office information. 
  • Answer phones with proper etiquette, directing calls to the relevant person/department, and updating patient information as needed. 
  • Schedule new patients, collect insurance information, and set up new patient files, including preparing necessary forms and labels. 
  • Verify medical insurance for appointments, including walk-in patients, at least one day prior to service. 
  • Manage inventory of new patient forms and office supplies required for front desk activities. 
  • Process patients' referrals, ensuring timely scheduling for recommended non-PCP appointments. 
  • Liaise between Medicare patients/offices and providers, effectively processing, monitoring, and communicating all aspects of referrals. 
  • Maintain a list of preferred specialists and ancillary providers for the assigned area. 
  • Obtain referral authorizations if required by the health plan and schedule appointments with referred specialists. 
  • Communicate respectfully and effectively with patients regarding appointments. 
  • Monitor patient wait time, ensuring physicians' on-time schedules, and assisting in pulling charts for walk-in patients. 
  • Provide patients with proper documentation for quick referrals using the preferred network. 
  • Ensure patients leave with all necessary forms and paperwork (e.g., visit receipt, lab requisition, prescription). 
  • Schedule necessary follow-up appointments, confirm next day's appointments, and follow up on any missed appointments. 
  • Adhere to all HIPAA guidelines and maintain strict confidentiality. 
 
Job Qualifications:
  • High school diploma or equivalent. 
  • Two (2) years of experience in a medical office setting, with specific experience as a Referral Coordinator. 
  • Data entry and typing experience. 
  • Must be Bilingual in English/Spanish
  • Knowledge of basic medical terminology is preferred.
