Job Summary

The Mobile Administrative Generalist is responsible for clerical duties to include managing timesheets and communicating operational information from the field to corporate, regional management and customers and vendors as needed. This role will require the ability to multi-task and provide back-up assistance when needed to order supplies and PPE, as well as complete and maintain site specific documentation. The ideal candidate will have excellent administrative, customer service, communication, organizational, and interpersonal skills and will demonstrate the ability to multi-task.

Job Duties

  • Submits data entry for railcar billing, working in billing and accounting systems.
  • Submit approvals for railcar billing along with forms/pictures as necessary
  • Set up shipments for material as needed
  • Helps Maintain Safety Council records.
  • Submits monthly updates for assigned locations
  • Order material and PPE as requested by location
  • Enter requisitions for invoices when purchase order is needed
  • Receive material into S4 once checked in by repairmen
  • Makes copies, types of memos, and filing
  • Assist with part number issues for assigned locations (search for part numbers, help with workflows as needed, etc.)
  • Contributes to team effort by accomplishing related results and all duties as assigned
  • Assists with new account/vendor establishment for invoicing at repair locations (submit credit references to potential vendors, assist AP to get vendors setup in SAP, etc.)
  • Other duties as needed.

Experience and Education

  • Minimum two (2) years of administrative experience
  • High school degree or equivalent
  • Proficient in data entry
  • Proficient in Microsoft Office (Excel, Outlook, Word and PowerPoint)
  • Good communication and organizational skills
  • Ability to multitask and meet deadlines on a consistent basis
  • Maintain high level of confidentiality and professionalism
  • Speak fluent English
