Job Description
Summary: The Meeting Planner is responsible to receive and manage meeting planning logistics, including confirming speakers, planning venue/restaurant logistics, plan and book travel, while providing excellent customer service and frequent status updates to our clients.
Essential Duties and Responsibilities include the following:
- Receive and manage program requests from client sales representatives.
- Maintain and update programs in meeting planning system; this includes entering detailed notes with any program changes, speaker travel information, venue/caterer details, and detailed notes from conversations over the phone with rep and/or vendors.
- Oversees the management of multiple meetings at once maintaining timely customer updates and coordination of required tasks.
- Responsible to confirm and negotiate food and beverage cost/menus as requested, including confirming meeting equipment such as audiovisual aids, podiums, additional seating, etc.
- Ensure client policies are followed as it relates to meeting planning rules; escalates violations to manager when needed.
- Adhere to client specific Service levels to plan meetings accurately and timely.
- Support the post-meeting process to manage attendance and final costs from the event.
- Ability to take the lead in addressing customer questions and concerns related to meeting planning specifics, including updates, changes and cancellations.
- Ability to multi-task, effectively and efficiently based on day-to-day activity and client requests.
- Maintaining a service-focus at all times, and exhibiting a positive and professional demeanor in all customer interactions

Desired Skills and Experience:
- High school diploma or general education degree (GED); one or more years of program management or meeting planning experience; college degree preferred.
- Technical savvy (able to toggle between multiple browsers and systems using dual monitors)
- Previous experience using Outlook, Word & Excel preferred.
- Previous remote work from home experience a plus – including being able to work without disruption in a private space to be able to take phone calls and participate in on-camera video discussions with clients and internal teams.
- Strong phone and verbal communication skills along with active listening
- Proven strong Time management skills and the Quick learner and ability to work independently.
- Professional written and oral communication skills
Salary Range: $40,000-$45,000
