Position Summary & Duties Responsible

Position Summary

Under direction of the assigned supervisor, perform moderately complex detailed administrative/technical duties. Coordinate work assignments and scheduling of employees in designated section.

Duties and Responsibilities

  1. Serves as lead worker in training, guiding, checking, correcting and reporting on the technical work of employees in the lower level classes.
  2. Responsible for coordinating work assignments within designated section of the department.
  3. Perform section administrative duties such as coordinating purchase requisitions, securing quotes from vendors; maintenance of records pertaining to daily transactions and business details such as employee time records.
  4. Performs data entry such as ownership, mailing and property addresses, tax exemptions, and deletions/creations of parcels of real property and value input on IAS.
  5. Research appraisal records for comparison to tax records to determine property ownership and ensure appropriate measures are taken to correct discrepancies.
  6. Identifies legal descriptions, UPC Codes, real and personal properties, deeds, split and combinations and various file folder documents for input relating to valuation or sale of property.
  7. Verify legal descriptions of real property contained in deeds and other documents and compare with cadastral maps to identify the location of the property and the appropriate Assessor's parcel numbers.
  8. Trace routine chains of title to determine ownership of property using coding knowledge.
  9. Reviews, verifies and/or researches information submitted by taxpayers for accuracy, completion and conformance with established procedures, and to determine ownership, situs, costs and taxability.
  10. Respond to inquiries in person, in writing and over the telephone in a courteous and exemplary manner; provide information within scope of knowledge or refer to supervisor or other personnel as necessary.
  11. Review and verify daily transactions for quality assurance and accuracy of prior day data entry.
  12. Prepare, distribute, and process department mail and/or faxes.

Minimum Qualifications
  1. High school diploma or GED, plus five (5) years office/clerical experience, training and/or post-secondary education with three (3) years in the area of document/form processing governed by statutes and/or strict administrative guidelines.

Working Conditions

  1. All essential duties are performed indoors.

  1. Equipment typically used in the performance of office duties includes telephone, computer terminal, computer printer, computer keyboard, typewriter, photocopy machine, fax machine and calculator.
  2. Materials and products handled include files, forms, reports, various other paperwork, and a wide variety of basic office supplies.
