General Position Summary:

Provides administrative duties for construction projects. These duties include, but are not limited to, accounts receivable, accounts payable, and managing draw schedules. Makes certain that the company is being represented in accordance with First Construction’s corporate values.

Essential Functions/Major Responsibilities:

  • Evaluate all projects and ensure compliance to all budgets for contract services and coordinate with project manager to review all projects and maintain estimates and track all invoices and change orders.
  • Submits requests to architects and /or owners to obtain clarifications and answers to questions, contradictions, conflicts, inadequacies, and other confusing issues represented by the plans, specifications, and other documentation.
  • Maintains a strictly high level of confidentiality regarding financial specifics of projects, including estimates, bids, contract amounts, change orders, cost, financing arrangements, fees, and other financial information.
  • Reviews established budget estimate and bid, and assists the project manager and job cost accountant with setting up the proper codes and organization of the job cost report.
  • Issue subcontracts and purchase orders as directed by the Project Manager.
  • Assist with preparing the job start-up and close out checklists.
  • Prepare, expedite, and monitor logs for tracking shop drawings, contract documents, submittals, requests for information, change orders, material delivery logs and other as determined necessary for a successful project.
  • Possess working knowledge of all project plans, specifications, contract with Owner, subcontracts, purchase orders, daily correspondence, shop drawings, submittals, and all other project related documents, and maintain a complete and accurate set of as-builts.
  • Prepare change proposals, negotiate change orders, issue change orders to subcontractors and prepare revisions to the master cost breakdown as a result of change orders and management revisions with direction of Project Manager.
  • Keep the Project Manager fully informed in a timely fashion with regard to any and all problem areas on the project
  • Maintain good relationships with the owner, architect, engineers, subcontractors, suppliers, municipal authorities and company personnel involved with the project.
  • Work with project team to prepare and update progress schedules including short term interval schedules.
  • Assist in planning construction operations and sequences.
  • May interact with client including correspondence, periodic reports, change order requests, submittal of pay requisitions, and response to client inquiries and directives, as directed by the Project Manager.
  • Regular, timely, and predictable attendance is required for this position.
  • Performs other duties and responsibilities as assigned.

Requirements and Qualifications:

  • Bachelor’s degree preferred.
  • Previous experience in a related role.
  • Understand project specifications and architectural documents.
  • Can efficiently process forms and perform administrative tasks for construction workers.
  • Well organized.
  • Work well in a team setting.
  • Proficient knowledge of Microsoft Office, Excel and Procore or similar program.
  • Valid driver’s license – good driving record.
  • Must pass pre-employment drug screen.

  • Prolonged sitting at a desk and working on a computer.
