SUMMARY OF POSITION

Under the direct supervision of the Director of Finance, this position is responsible for timely and accurate coordination and processing of the accounts payable process. This position interacts with managers throughout the organization in the areas of financial reporting, invoicing, and general problem resolution.

RESPONSIBILITIES

  • Work closely with other departments to ensure accuracy of accounting records.
  • Review incoming invoices, contracts, expense reports, and payment request documents for compliance with policies.
  • Assist the Finance team with processing vendor invoices, expenses and credit card transactions.
  • Maintain all invoices and documentation in the accounting system.
  • Assist with preparation of 1099s.
  • Process vendor and checks and process voided and manual checks (with authorized approval from management).
  • Review all expenses for appropriate authorization and account coding, and to ensure they are allowable in compliance with GAAP, Uniform Guidance, federal and state regulations, policies, and procedures.
  • Maintain and update A/P vendor files, produce appropriate reports to verify data, and periodically prepare and maintain accounts payable-related spreadsheets in Excel.
  • Complete tasks assigned for month-end closes.

EDUCATION AND EXPERIENCE

  • 3+ years' accounts payable experience with increasing responsibility.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of and experience with accounting principle and GAAP.
  • Good interpersonal, organizational, and communication skills.
  • Outstanding attention to detail.
  • Proficiency with Microsoft Excel, using multi-tab spreadsheets with formulas and functions.
  • Proficiency with QuickBooks desired.
  • Good sense of humor.
