Position:         Administrative Coordinator

Reports to:     Director of Accounting & Human Resources

Summary:

Under general direction, primary responsibilities include, but are not limited to, receiving and routing incoming communications, document preparation, distribution and filing, mailroom functions, order taking and inventory management, data entry, event and travel planning, and general administrative support to the organization and staff.

Essential Job Functions:

  • Greets and assists visitors and guests.
  • Receives all incoming telephone calls, faxes, mail, and general email, route to the appropriate staff.
  • Professionally screens telephone calls, inquiries, and requests.
  • Responds to general inquiries via phone, letter, and email.
  • General copying and document finishing.
  • Processes outgoing packages and mail.
  • Orders and maintains an inventory of general office supplies.
  • Receives merchandise orders, processes orders, packs items, and ships.
  • Processes various financial transactions, including credit cards, refunds, and daily incoming check payments electronically.
  • Maintains legal and historical records by filing documents.
  • Research and gather information from historical records.
  • Enters data from a variety of sources into computer systems or databases.
  • Creates queries and reports in various databases and exports data for use in other processes.
  • Update content on the website.
  • Manages calendars and supports scheduling meetings, events, and staff absences.
  • Assists in the planning and executing of events, particularly in document preparation, supply ordering, and packing.
  • Arrange travel reservations.
  • Provides administrative support, including, but not limited to, proofreading, scheduling, document preparation, preparing and sending correspondence, tracking the status of various projects, and filing.
  • Performs other duties as assigned, consistent with experience and training.

Qualifications:

  • High School diploma (GED is acceptable).  An associate’s or bachelor’s degree is preferred.
  • Keys quantitative and qualitative data with speed and accuracy into the computer.
  • Ability to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals.
  • PC experience in Windows environment.  Working knowledge of Microsoft Excel, Word, and Outlook.  Preference will be given to those that can use Microsoft Access.
  • Enterprise database experience a plus.  Preference will be given to those with experience with Blackbaud’s The Raiser’s Edge/Raiser’s Edge NXT, The Financial Edge/Financial Edge NXT, and NetCommunity applications.
  • Must be able to interact professionally with executives, board members, staff, and alumni.
  • Excellent interpersonal and verbal/written communication skills are a must.
  • Must be detail-oriented and possess excellent organizational, analytical, and time management skills. Keeps files and work area organized.
  • Ability to maintain confidential files and professionally handle confidential matters.
  • Ability to work well under pressure.
  • Must be self-motivated while possessing the ability to work well in a team environment.
  • Ability to research and resolve issues, take the initiative, and multitask.
  • Must be able to read, write, and understand English.

Since its founding, Sigma Nu has been a pioneer in the fraternal world. Sigma Nu is the only men’s fraternity founded in opposition to hazing.
