Job Summary:
Schedules all outpatient chemotherapy, pain clinic and clinic procedures as they are requested using the scheduling module. This function is responsible for coordination with pre-authorization function to ensure accurate and timely payer information. The scheduler coordinates issues as appropriate with OP Clinics Director and OP nurses specific to scheduling. Answers phone and assists with the daily operations of the units/clinics. This function maintains confidentiality with patients, staff and guests. As a Registrar working in a clinic location, they are responsible for complete and accurate registrations, including the proper completion of required consent for treatment and payer compliance forms and the copying/scanning of patient insurance cards. The Registrar practices exceptional customer service and professionalism, performs pre-admission, insurance verification and certification, and data entry as assigned. Additionally, the Registrar will collect payments at time of service as instructed, and ensures accurate posting. The Registrar’s daily responsibilities are directed by the OP Clinic Director, in cooperation with the Admitting Supervisor. OP Clinics Scheduler Scheduling Accurately schedules all chemotherapy, infusion, pain and oncology clinic procedures as needed/requested in a timely manner using the scheduling module and electronic medical record. Scheduling includes ensuring accurate MD order, scanning orders, obtaining insurance and demographic information, completing and documenting ABNs as appropriate, entering appropriate diagnosis codes, communicating with pre-cert team as appropriate. Communicates appropriate pre procedure information to patient when scheduling and refers patient questions unable to answer to RN. Communicates immediately, or as soon as possible, any pertinent information, scheduling conflicts/issues, or special equipment needs/issues about scheduled procedures to nursing staff, pharmacy, and physician offices. Maintains tickler file for future appointments. Calls patients to confirm appointments day prior to scheduled appointment. Registrar Duties Performs accurate registration using thorough interview technique to ensure that information is 100% complete and accurate. Ensures that all compliance requirements have been met, and the registration is properly created and/or updated for anticipated billing. Exercises the most desirable customer service demeanor and professionalism in all communication, duties and attire while interacting with patients, physicians, staff and visitors. Conforms to dress-code without exception. Is thoroughly versed in Hospital and applicable HIPAA regulations and is especially sensitive to, and mindful of, patient confidentiality in all scenarios. Conforms to all regulations without exception. Performs cash collections at time of service, consistent with financial counseling procedures, the hospital’s Credit and Collection Policy and Guidelines and other financial directives. Utilizes software for payment and receipt on all applicable encounters. Handles money competently and securely, properly balances received payments and returned change, and balances and reconciles cash drawer daily. Serves as a receptionist for the Outpatient Clinic waiting area. Communicates and coordinates information in a knowledgeable and courteous manner with staff, patients, and families. Assists with keeping family members updated regarding patient’s procedure/visit. Answers telephone calls promptly and responds to requests and messages in a timely manner. Takes accurate messages, relays/forwards messages to appropriate personnel, and refers callers to appropriate personnel as needed. Utilizes paging system as needed/directed. Patient Safety & Confidentiality Adheres to all accepted patient safety standards Follows all security, confidentiality, privacy policies as well as all industry specific rules and regulations. Unit Specific Duties and Responsibilities/Day to Day Operations Accurately prepares and maintains patient charts for Chemo/Infusion including scanning of medical records and results of tests/procedure done by non AVH sites into electronic medical record, as needed. Inserts all patient orders as directed into scheduling module, clarifying with immediate charge nurse any concerns. Prioritizes work load. EDUCATION/EXPERIENCE REQUIREMENTS

· Knowledge of medical terminology preferred

KNOWLEDGE AND SKILL REQUIREMENTS

· Ability to concentrate and show attention to detail
· Relatively high degree of analytical abilities
· Strong interpersonal skills required
· Ability to work independently
· Computer skill experience preferred
· Medical terminology preferred

LANGUAGE SKILLS

· Ability to read and communicate effectively in English
· Spanish preferred

*Our hire-in rates of pay are based on years of relevant experience. Listed below are our hire-in rates for the position, which includes: minimum pay (no relevant experience) and mid-point (12 or more years).

Minimum = $19.15/hr

Mid-Point = $24.90/hr
