This individual reports to the Head of School. S/he will also work closely with the Board and has a dotted line to the Board Finance Committee. S/he must have the ability to multitask in a busy environment while maintaining a welcoming and friendly presence with students, parents, and colleagues in keeping with the School’s mission.

Responsibilities:

Financial Planning:

  • Provide reports to the finance committee and/or the board on significant financial matters as requested or appropriate
  • Maintain a system of internal controls and approvals for cost - control of resources to ensure the integrity and effective processes for ordering, purchasing, delivery, and expense reimbursement.
  • Prepare and review financial and budget statements, investment, and capital project reports for review and approval by the head of school, treasurer, finance committee, and/or the board.
  • Participate in all Board and committee meetings as required

Budget:

  • Prepare the preliminary annual budget after consulting with the head of school and submit a proposed budget to the finance committee.
  • Recommend annual tuition rates, financial assistance budget, and salary scale/benefit plan increments.
  • Ensure expenditures are consistent with the approved budget and that deviations from the budget are explained and approved in advance.

Accounting:

  • Maintain appropriate procedures and controls for all financial systems, in accordance with standards, and for the supervision of accounting and bookkeeping personnel.
  • Supervise business office activities including payroll, accounts payable, expense reimbursements, accounts receivable, cash, financial assistance, general ledger, purchasing, employee benefits administration, taxes, and other accounting systems.
  • Manage the school’s relationship with its independent auditors and supervise the preparation of work papers for annual audit as well as report, respond to, and/or implement the auditor’s administrative recommendations.
  • Prepare or oversee the preparation of all income, payroll, and exempt organizational tax returns, reports, and statements.

Personnel Management:

  • Supervise the administration of personnel programs and policies as they relate to hiring and termination procedures, time off, workers’ compensation, safety, security, professional development, performance, evaluation and compensation.
  • Provide appropriate benchmark data and information to the head of school and/or board, as appropriate, for compensation comparisons and the preparation of employment offers or arrangements.
  • Coordinate the recruitment and hiring of all staff within the business office.
  • Oversee the maintenance and security of personnel records.
  • Supervise the administration of benefit programs and ensure employees are appropriately informed about them.
  • Make sure personnel policies are communicated to employees and enforced and that the school’s actions regarding hiring, compensation, training, expense reimbursement, promotion and separation conform with local, state, and federal requirements.

Student Billing:

  • Manage accounts receivable, financial assistance and parent contracts.
  • Oversee the collection of aged accounts receivable.
  • Work with parents on financial issues relevant to their children’s enrollment at the school.
  • Analyze, review, and approve financial assistance awards in collaboration with the head of school and enrollment management director
  • Administer the tuition refund insurance program, including filing claims and dispersing funds .


Operational:

  • Manage risk through maintaining crisis management plans and administering appropriate liability policies such as general liability, D & O, worker’s compensation, unemployment and coverage for buildings and equipment
  • Planning and oversight of transportation and food service
  • Manage technology in conjunction with Director of Network Administrator
  • Supervise the Facilities staff in identifying corrective and preventative maintenance of campus facilities and grounds. 
  • Supervise the Facilities staff in the oversight of the outsourced cleaning and custodial company, as well as, all other facilities vendors being used on campus (HVAC, plumbing, lighting, etc.)
  • Advise and oversee the Facilities staff in the creation and dissemination of the summer, spring, and winter break projects lists
  • Act as a liaison to the security company

Qualifications:

  • Bachelor’s degree in business, accounting, or related field. Master’s degree preferred
  • 10+ years of progressive financial and administrative experience in an educational institution or non-profit organization preferred
  • Advanced knowledge of appropriate software tools (Microsoft, QuickBooks, & Google products)
  • Must pass a background check
  • Ability to sit or stand for extended periods
  • Ability to lift supplies and materials up to 50 lbs.
