Position Summary:

This recruitment will be used to fill two, full time or part time, Administrative Assistant vacancies at the School of Medicine and Public Health, Department of Pediatrics. By applying for this position, applicants will be considered for both vacancies. These positions will provide direct support to divisional faculty and staff within the Department of Pediatrics. Being responsible for the coordination of complex daily clinical, academic, and administrative activities, as well as the coordination and organization of the faculty's communications, meeting planning, and travel. Professional communication, workplace sensitivity, and diplomacy are essential as well as excellent administrative, organizational, computer, and interpersonal skills.

The responsibilities require considerable independence of planning, decision making and action often involving delegation of aspects of work to others. The incumbent is expected to utilize a considerable amount of independent initiative and judgement, exercising a high level of administrative problem solving and analytic ability.

These positions track, prioritize and organize multiple ongoing projects in various stages of progress in such a way as to assist the faculty in completion of these projects. These positions require knowledge of and considerable experience with UW Health and university policies and procedures, as well as the operational details of managing a division within a medical center and frequently interfacing with administrative entities. These positions must show confidentiality regarding written and oral communications.

Minimum Years and Type of Relevant Work Experience:

Minimum three years experience providing administrative support in an office setting is required. Computer experience in Outlook, Excel, Word and PowerPoint is required. Effective oral and written communication skills, independent problem solving and analytical skills, attention to detail and organization, and an outgoing and energetic service-oriented approach required.

Training in, knowledge of, and strict adherence to HIPAA regulations is preferred. Previous experience providing office administrative support in the UW System is preferred. Superior organizational and time management skills with ability to think proactively and prioritize work is preferred. Ability to plan and carry out work without direct supervision is preferred.

A minimum of 7 years' experience is required for appointment at the senior level. Prefix assignment determined by years of relevant work experience.
