Job Summary: One Grounds Management is seeking a energetic, personable, and driven Operations Coordinator. The Operations Coordinator is the communication hub of the organization. They are responsible for ensuring contract standards are met through cohesive operations. This position is responsible for ensuring received work order requests are brought to the attention of the Area Manager and/or Operations Manager within the region the project is to be performed and indicate the appropriate priority level. Operations Coordinators will inquire on status updates, analyze daily field reports using in-house software and communicate any issues or concerns associated with the findings with the field crew in an effort to find a solution in order to ensure client satisfaction.

Primary Duties and Responsibilities:

  • Manage all inbound calls.
  • Identify client needs, answer questions, and provide solutions.
  • Create client centric environment by delivering outstanding service at all times
  • Organize received work orders by region, complete data entry of work order details into in-house operations software, and provide field crew with the work order number, scope of work requested, and service priority level
  • Follow up on dispatched work order requests and provide status updates and/or results of work order request
  • Receive photos and/or details of work in progress or completed from field crew members and perform the necessary data entry and/or photo attachment necessary into the in-house operations software.
  • Manage multiple client portals, maintaining communication and status updates.
  • Complete daily weather reports and service reports
  • Monitor field crew daily reports within in-house operations software to ensure all services are being performed and recorded per client contract through analysis
  • Regularly monitor new work orders and provide status updates in the private notes section to help field crews to easier identify items needing immediate review, adjustments and completion
  • Promptly create new work orders for unforeseen work orders completed by Service Partners which are below or meet the contracted cap amounts per client
  • Assist in reviewing all work order items for the billing period to ensure all work completed
  • Protect company and client value by keeping information confidential
  • Update job knowledge by participating in educational opportunities
  • Coordinate with Accounts Payable and Accounts Receivable when necessary
  • Accomplish company mission by completing related duties as needed                    

Knowledge, Skills and Abilities:

  • Flexible Schedule with night and weekend availability
  • Maintain a high level of accuracy in data entry
  • Prior experience in customer service role

Education and Experience:

  • High School Graduate or equivalent
  • Previous customer service experience required
  • At least 2-years’ experience in advanced record keeping
  • Communications

Physical Capabilities:

  • Work performed in an office setting
  • Regularly required to lift 10 pounds
  • Listen, speak, sit, stand, bend, reach and move about facilities frequently
