Job Description

Essential Duties and Responsibilities:

  1. Provide proactive administrative support.
  2. Facilitate and maintain relationship between the MLO, client, realtor, internal staff, and all other parties to the transaction
  3. Monitor and advise MLO of upcoming rate lock expiration and assist in obtaining extensions as needed
  4. Assist in managing MLO pipeline and closing reports to ensure deadlines are met on all loans.
  5. Assist in mailings, thank you letters and other company marketing initiatives.
  6. Maintain and update customer contact information.
  7. Keep MLO current on company/industry information. Including webinars and conference calls.
  8. Monitor inventory of office supplies and place orders as needed /contact vendor for Copier issues
  9. Provide computer support and updates by monitoring email inbox while MLO is unavailable.
  10. Update and distribute sales meeting guides and other tools available to MLOs.
  11. Monitor websites for accuracy and changes.
  12. Coordinate continuing education and registration requirements with MLO and compliance.
  13. Review training needs with MLO and support when needed.
  14. Order all residential Appraisals- follow orders to assure timely completion-process appraisals- notify MLO and processors upon completion
  15. Primary contact with Appraisal Firewall- trouble shoot orders - manually assign when necessary
  16. Maintain and submit appraisal invoices for payment and follow up on all vendor inquiries about outstanding invoices
  17. Process all Title requests for loans in process- follow up as needed
  18. Review loan files for completeness prior to submission to processing
  19. Run weekly and month end reports for Sales team meetings
  20. Send out agendas and take minutes for all meetings
  21. Attend closing for MLO officers when necessary
  22. Liaise with Ann Arbor Board of Realtors as Affiliate member- updating MLO as needed


Requirements:

  • Prior mortgage processing experience would be ideal
  • Good organization skills
  • Customer service oriented
  • Experience in the mortgage industry a plus.
  • Dependable and motivated
  • Knowledge of the Mortgage Industry
  • NMLS registration
