Job Description

Primary responsibility will include coordinating subcontractor submittals to the Owner and assist in creating subcontracts in accordance with the requirements of the Owner contract specifications. Coordinate with field personnel to ensure subcontractor submittals meet the schedule of the project. Assist in the creation of subcontracts as directed to meet project schedules.

Responsibilities:

  • Provide Set-up Contracts and submittals for Massachusetts and MassDOT.
  • Delinquents Create a separate spreadsheet to be managed and updated by you.
  • Call subcontractors and Suppliers when they are 3 weeks past due (unless the field has an exception).
  • Make notes of each activity to the spreadsheet and post in Purshare/Contracts and SharePoint daily if required so it can be used by the department.
  • Notify Purchasing manager of delinquents over 8 weeks if a resolution has not been accomplished.
  • Develop and maintain a system to ensure subcontractors are submitted to the Owner in a timely manner.
  • Create subcontractor submittal documents with instructions for training purposes. Update as necessary.
  • Assist in the set-up of contracts in accordance with the Owner Specifications.

  • And other duties as assigned

Qualifications:

  • High School Diploma or equivalent
  • 5+ years of contract administration or equivalent job training
  • Knowldege of Contract documents
  • Knowledge of Federal and state requirements per the Owners contracts
  • JDE experience preferred but not required
  • Familiar with Subcontractor documents for compliance (E-verify, Debarment, Non-Segregated Facilities, EEOC)
  • Advanced Microsoft office skills
  • Excellent oral and written communication skills
  • Ability to assess, evaluate, and solve problems
  • Strong project management skills
