Job Summary:
Contracts Administrator will execute, interpret and deliver all aspects of contract requirements necessary to carryout successful completion of customer requirements per project engineer/management direction and GM direction. Position is also responsible for assisting with other administrative duties of the construction management function, including payroll, accounting, compliance reporting, and any miscellaneous requirements.

Duties:
• Review contracts, request performance bonds, payment bonds, insurance certificates and complete various forms and submittals
• Set up job binders, set up subcontracts and complete submittal request for projects.
• Manage Insurance requirements for subcontractors on projects, make sure have before start project.
• Request Subcontractor payments from corporate office
• Request Apprentice for prevailing wage projects
• Coordination of internal material contracts, reconciliation and posting of invoices in both the accounting and job costing programs.
• Review foreman reports and collect all necessary backup documentation for payroll, accounts payable and accounts receivable processes.
• Accounts Payable: Entry and reconciliation of vendor accounts, including manage subcontract pay estimates for each project, request all documents required for contract payments. Create and manage purchase orders.
• Accounts Receivable: Contract billings, pay estimates
• Certified payroll reports and apprentice training forms.
• Weekly material reporting to agencies. Verify tonnage taken to project
• Contract Change Orders: Assist with extra work reports for projects.
• Assist management and estimators with miscellaneous projects and assignments as directed.
• Accounts payable entry and reconciliation of vendor accounts, including manage subcontract pay estimates for each project, request all documents required for contract payments
• Cross train for weekly payroll associate, Hard Dollar timesheets
• Vacation Coverage: Set up new jobs bidding, request bid bonds

Education:
Bachelor’s degree in Accounting, Business Administration or closely related field; equivalent combination of education and experience.

Requirements/Qualifications:
• Microsoft Excel – intermediate to advanced
• Microsoft Word – intermediate to advanced
• Construction administration experience
• Strong communication skills – able to relate to a cross section of people
• Ability to multi-task
• Detail-oriented and recognition of importance for follow-up and follow-through

Preferred:
• Software Programs – Hard Dollar, Nice Touch and SAP
• Certified Payroll Knowledge

Conditions of Employment:
