GENERAL SUMMARY/OVERVIEW

Working in accordance with established hospital policies and procedures, the employee will support the Division of Genetics Administrative team on a per-diem basis.

PRINCIPAL DUTIES/RESPONSIBILITIES

  • Facilitate the smooth operation of the lab on a daily basis through efficient office management and supporting all administrative needs. Ensure adherence to all Division policies and procedures. Take initiative to follow up on matters independently. Bring to the PI and Division Manager's attention all matters that require his/her review and/or action. Keep the PI and Division Manager informed about any staff issues in a timely manner. Regularly handle confidential information.
  • Assist Principal Investigators in the preparation, typing and submission of grant proposals and necessary protocols. Work closely with the Division Grants Manager / Grants Administrator to assemble and complete NIH forms for submission. Maintain up-to-date versions of all of PI's key documents (e.g. CV, Biosketch)
  • Support required outfitting of Lab by assisting researchers as needed with placing orders for equipment, laboratory, and office supplies. Interface with vendors, manage orders, and liaise with Accounts Payable and Purchasing Departments as needed. Process all check requests and invoices in a timely manner.
  • Provide routine administrative support such as: typing memos and letters, answering and transferring telephone calls, and taking and distributing messages.
  • Serve as single point of support for lab and division members on any administrative issues. Handle the on-boarding of new hires. Assist staff with any organizational/policy/procedure questions. Manage visas and appointments for lab members in conjunction with Division support.
  • Organize and maintain PI and Lab files.
  • Perform routine administrative tasks including managing PI's calendar and lab meeting schedules. Assist as needed with arrangements for seminars and conferences including travel itineraries, reservations and deposits, employee reimbursements.
  • Perform all other duties and assignments and special projects, as requested.

QUALIFICATIONS

High school diploma, Bachelors Degree preferred. Coursework Accounting, Finance, Business Administration, or Healthcare Business preferred.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED

  • Excellent organizational skills and attention to detail.
  • Computer proficiency required.
  • Excellent communication and interpersonal skills, collaborates well with others.
  • Ability to prioritize among many tasks, to work quickly under pressure.
  • Ability to work creatively and proactively.
  • Experience with Partners Healthcare System a plus
  • Knowledge of bookkeeping and accounting principles, practices and software helpful.

WORKING CONDITIONS

The person will spend his/her time in a laboratory setting at the Harvard New Research Building in the Longwood Medical area in Boston.
