Overview

Job Summary:

The purpose of the Communications Coordinator role at Hutton Hotel is to support the overall efforts of the Marketing Department to reach the strategic goals of the hotel. The Communications Coordinator supports the Director of Marketing and all departmental projects and needs to ensure projects are delivered on a timely manner, project goals are met, reports are delivered on time among other functions. Communications Coordinator will work to develop expertise in public relations, social media, copy and content writing, and a strong knowledge general hotel communications functions.

Responsibilities

Job Functions:

Public Relations

Work in coordination with national PR agency to drive local, national and international press coverage and awareness

Book and coordinate journalist and VIP stay details and prepare operations teams for arrival

Prepare press kits and stay itineraries for journalists

Clip and record press coverage

Manage and maintain journalist and publication lists

Write pitches and ensure regular inclusion in local publications and round ups for hotel, restaurant and nightlife venues

Draft press releases and press kit materials

Create and maintain relationships with local journalists including hosting at hotel events which can be on nights and weekends

Manage and maintain all reference files on publications and advertising

Ensure details are up to date in all press releases, materials and media centers

Maintain an organized photo library and ensure PR agencies and Sales & Marketing teams have latest imagery

Prepare quarterly clip books

Prepare yearly Press Highlights PDFs and books

Manage and maintain photography catalog and request new shots as needed to secure publicity

Handle editorial photography shoots, as needed

Social Media

Work together with social media agency to develop monthly calendar and ensure accuracy of the information

Together with the marketing coordinator, drive social media to monthly, quarterly and yearly goals

Partner and maintain relationships with social media influencers to drive publicity

Digital & Email Marketing

Work with team to create and manage editorial calendar

Draft copy and editorial as needed for hotel blog and email newsletter

Work with writers and editors to develop stories for hotel blog and newsletter

Work with Marketing Coordinator to develop editorial calendar and content for newsletter

Review and ensure email marketing is proofread and links work accurately.

Marketing & Collateral

Assist Director of Marketing on all communications related functions

Oversee the monthly M&C reports and liaise with DOM to complete details

Help develop promotional and collateral materials with the Marketing Coordinator

Maintain a running document of all communications materials

Write promotional copy as needed

Administrative

Maintain departmental calendars

Work with Marketing Coordinator to ensure all departmental financial responsibilities are maintained

Ensure financial SOPs are being followed and assist with the reconciliation the month end budget

Draft and maintain internal communications

Maintain, organize and ensure all departmental files are current

Perform any other job related duties as assigned

Qualifications

Experience, Skills and Knowledge:
Strong written and verbal communication skills

Bachelor's degree in Marketing, Public Relations, Hospitality or similar concentration

2 - 3 years work experience in hotel, restaurant or pr agency

Experience with Microsoft Office (Word/Excel/PowerPoint)

Ability to:

  • Be a clear thinker, remain calm and resolving problems using good judgment.
  • Follow directions thoroughly
  • Understand guest's services and needs.
  • Work cohesively with co-workers as part of a team.

  • Ability to use Adobe Photoshop or Illustrator or quick ability to develop that knowledge
  • Ability and willingness to learn new systems and programs
  • Curiosity to learn about different marketing functions/drive to develop the knowledge
  • Demonstrated ability to follow instructions both written and verbal
