About this job

The Assistant Event Coordinator works alongside the Private Dining Manager and is expected to carry out any delegated tasks including but not limited to:
• Support the Private Event Manager in documenting final details and pertinent information concerning events in client files and function sheets, including but not limited to, final guest count, day-of timeline, menu selections, linens, room layout, vendor information, and special requests.
• Regularly review upcoming events function sheets and have thorough understanding of all requirements on upcoming scheduled private events.
• Coordinate or obtain necessary equipment and supplies needed for each event, ensuring that they meet guest expectations and requirements.
• Responsible for overlooking setup and break down of both outdoor and indoor private dining events.
• Inspect event room prior to the start of each function — ensure room setup, signage, menu, etc. conforms to function sheet.
• When scheduled, greet host and guests prior to the start of each function and maintain presence at events in order to provide prompt response to any guest needs or requests that may arise.
• Periodically check with the host over the course of the event to ensure satisfaction and respond to any requests.
• Continually observe and assist the Private Dining Manager and banquet staff where necessary during the entire event. Support the Private Dining Manager in ensuring that all details are performed as per the function sheet.
• Assist with breakdown and cleanup after the event. Account for all equipment and supplies. Return or arrange for return of materials provided by the client.
• Continually strive to develop and maintain knowledge of industry trends.

Qualifications:
* Must be able to have flexible scheduling as events will dictate needs, including ability to work a non-traditional schedule that will sometimes include weekends and holidays.
* Must be deadline and detail oriented.
* Friendly, customer service-oriented, go-getter, comfortable being in fast-paced environment, works well under pressure, thinks and reacts quickly to instant change.
* Ability to take initiative, juggle multiple projects, strong organizational/time management skills.
* Relationship builder, comfortable interacting with clients.
* Excellent interpersonal, written and verbal communication customer skills.
* Proficiency in MS Office applications (Outlook, Excel and Word).
* Must have a valid driver's license and transportation.
* Must have a basic knowledge of Word, Excel, Google calendar, etc.
* Must have excellent research, written and verbal communication skills.
* Must have strong client service and interpersonal skills.
* Must have the ability to multi-task and meet deadlines in a timely fashion.
* Must be a strong team player but also know how to work independently.
* Must be pro-active, responsive and punctual..
