Provides Senior Executive-level administrative support to the Senior Leadership Team (SLT) for Vail Resorts Retail (VRR) with a demonstrated ability to accomplish goals and meet deadlines in a fast-paced work environment. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is imperative.

  • Provide thorough and detail-oriented planning and support to Executive-level meetings and special events including planning, logistics, registration & participant assistance, materials, and note-taking, when requested. Plan, schedule and coordinate corporate meetings and special events including conferences, Kickoffs, Buyer Meetings, Trade Shows, etc.; handling all related aspects for groups and individuals attending – including registration, organization and coordination.

Connect:  Act in a cordial and professional manner as a representative of the COO, VPs and VRR while maintaining a positive attitude in all interactions with staff, coworkers, guests and any other individuals encountered in the job.

  • Establish relationships and strong rapport with Executive Committee (EC), COO and VP’s business associates, their assistants, as well as their direct reports, creating a level of trust and confidence, acting with the utmost professionalism and discretion over the phone, through written communication and in person to accomplish requests and achieve goals
  • Assist with the onboarding of new Corporate employees including collaboration with HR, IT, Office Services and Hiring Manager to ensure employees are set up
  • Provide prompt and efficient customer service and information to guests, clients, business associates and employees
  • Provide screening of incoming calls and correspondence, directing to others where appropriate
  • Exercise a high level of sensitivity, discretion, tact and diplomacy in every-day dealings, entrusted with confidential information

Serve Others:  Handle administrative tasks that support the SLT while providing general support to serve as the office service representative for Retail. Works closely with Sr. Specialist: Strategic Planning in coordination of SLT agendas, travel, meetings, preparing materials for presentation, etc.

  • Oversee office support - ordering supplies to space allocation
  • Manage and prioritize COO and VP’s calendars, arranging and preparing for regularly scheduled meetings, conference calls and other appointments, as necessary, and take initiative to reschedule appointments, when necessary to adjust to calendar changes.
  • Maintain VRR 18-Month Activity Calendar, while incorporating Retail and VRI Corporate and functional events
  • Manage the COO & VP’s expense reimbursements and travel arrangements, in line with company policies
  • Responsible for the documentation and administration of Mountain Money
  • Assist with special projects and other work outside of traditional administrative tasks, when necessary
  • Novatus Contract processing (obtain Legal and CAF approval/ signatures, distributing as directed, maintaining/ updating archives) for COO and VPs

Requirements

 

  • High School Diploma or equivalent  
  • Minimum of 5 -7 years progressive professional administrative experience, including reporting to a senior corporate executive or business owner
  • Advanced proficiency of MS Office applications including: Word, Excel, PowerPoint and Outlook, Visio and Access to prepare or assist with creation of documents, agendas, presentations and meeting materials.  Utilize Coupa to create requisitions to generate POs for invoice processing.  Travel arranged through Concur and on-site resort management.
  • Clear and concise oral and written English language communication skills required, including proper grammar, spelling and e-mail etiquette.
  • Strong organizational skills, detail oriented and the ability to manage multiple priorities.
  • Excellent communication skills.
  • Given the retail industry this position may be required to work holidays/weekends/evenings
