Essential Duties and Responsibilities

Enrolls new employees in benefit plans and provides benefits orientation.

Maintains vendor contact to investigate discrepancies and provide information in non-routine situations.

Provides vendors with appropriate documentation for all benefit plan claims.

Assists in analyzing employee utilization of current benefits and provides recommendations for review by management.

Assists in preparing materials and in presenting benefit plan changes to employees.

Processes leave of absence approvals (to include FMLA leaves) and rejections.

Ensures maintenance of employee personnel files including confidential files and I-9 record keeping for current and terminated employees in accordance with state and federal guidelines, this includes scanning and indexing of all paperwork.

Answers, screens, and makes routine telephone calls promptly and courteously as it relates to benefits and HR issues.

Inputs and maintains benefits data in the HR/payroll system in a timely manner.

Executes periodic reports as assigned based on a monthly, quarterly, annually, and as needed basis.

Provides basic employee benefits information and follow-up with problem issues that must be addressed by the company via the vendor.

Reconciles benefits statements in a timely manner & provides the invoices to A/P prior to A/P's month end close.

Develops benefit correspondence by means of composing, typing from drafts, xeroxing, collating, and/or employee mail distribution.

Ensures COBRA information is forwarded to terminated employees within the time frame allowed by federal guidelines.

Assists the Payroll Administrator when utilizing the pre-check payroll report to determine employees not paid correctly and "make-up" benefit deductions for those employees whose deductions were not made correctly. Corresponds with the employees in a timely manner as to past due/make up benefits.

Performs the administrative duties involved in personnel changes, terminations, payroll deductions, and employee fringe benefits processing as required.

Assists the Human Resources Manager with correspondence by means of typing from drafts, Xeroxing, collating, spreadsheets and PowerPoint presentations.

Conducts new employee orientation program to foster positive attitude toward company goals for all office and exempt personnel.

Works closely with payroll department for employee issues such as address changes, new hire information, payroll deductions, and benefit eligibility and changes.

Assist in the planning and implementation of the annual Open Enrollment process, once all information has been compiled to update deduction for new year and communicates with appropriate vendors as well as the payroll department

Able to handle confidential and sensitive information with discretion.

Performs a variety of administrative duties for CEO such as: scheduling monthly departmental meetings, assemble and maintain monthly financials, arrange catering and reservation for meetings, complete weekly PTO tracker reports, present and process donation requests to various benevolence groups.

Ability to prioritize multiple tasks in an expedient and efficient manner. Always return telephone calls and/or follow-up to any given situation and maintain the highest level of customer service with all employees.
