Position Purpose
 
Provide administrative and project support to one or more Director, Vice President and to his/her department as a whole. This job consists of a variety of tasks which vary by department and may be covered by general operating procedures. Individual judgment is required to deal with situations that may arise and require an effective resolution.
 
Essential Job Functions: The incumbent must be able to perform all of the following duties and responsibilities with or without a reasonable accommodation. 
  • Prepare and maintain the manager's schedule, to include meetings, budgets, etc., and support ongoing communication to support the manager and department in his or her absence.  Make travel arrangements.
  • Answer incoming phone calls to the department, which may require call screening and/or rerouting to the appropriate person(s), or fielding routine inquiries and resolution of problems or issues affecting the department. Greet visitors and determine whether they should be given access to specific individuals.
  • Compile data and conduct research. Efficiently create complex documents, reports or presentations using MS Word, spreadsheet software and/or PowerPoint.
  • Maintain a record of all departmental correspondence in supporting files. File and retrieve corporate documents, records, and reports.
  • Open, sort, and distribute incoming correspondence, including faxes and email. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Prepare responses to correspondence containing routine inquiries. Type department correspondence from verbal or written directions.
  • Prepare agendas and make arrangements for meetings. Attend meetings to record minutes. Accurately compile, transcribe, and distribute minutes of meetings.
  • Analyze data to determine appropriate course of action from responding to customer service issues to project planning and coordination.
  • Assist in department projects.  Provide project coordination. This task includes project analysis maintenance of project timelines, assistance in setting up and conducting project meetings.

The majority of job duties are performed while seated indoors with little or no exposure to hazards.
Education/Experience
 
The minimum educational background of an applicant to this position is a high school diploma or its equivalent (GED), and two years of general business education. At least three years of progressively responsible experience in a high-volume administrative support environment supporting multiple staff and/or department director level managers or vice presidents is required.
Strong spreadsheet and/or word processing skills are required with the ability to perform basic research and analysis. Demonstrated strong written and verbal communication and organizational skills, as well as the ability to prioritize and handle several projects at once are required. Due to the high visibility of this position, the applicant must also maintain a professional appearance and demeanor.
