Event Coordinator - Vail Marriott Mountain Resort

We are currently looking for an Event Coordinator to join our excellent team. This is an Entry Level Events position, with opportunity for growth.

Job Summary:

To support both internal and external customers as it relates to Event Management; to coordinate with Sales, other hotel departments and customer to ensure consistent, high level service throughout pre-event, event and post-event phases of hotel events; and to provide administrative assistance to the Event Management department.

Essential Functions:

  • Follows systems and processes that are efficient and serve as strong communication tools for all departments regarding the details for groups and special events
  • Complete administrative duties in a timely manner to include: compile and distribute BEO packets and attend daily BEO meetings; compile and distribute 10-Day packets and attend weekly meeting; distribute weekly ESS surveys received and update performance rankings; detail all in-house functions, as well as Vail Resorts functions, as assigned by Director of Event Planning; input information for Reader Boards daily; complete Post-Con Tracking spreadsheet weekly; complete Convention Calendar weekly; attend and take notes at weekly Operations Meeting; distribute Group Resumes and Cover Sheets; provide customer support as needed for in house groups
  • Maintain program knowledge for the Events team by attending planning meetings, conference calls, reviewing group resumes and banquet event orders (BEO’s) prior to group arrival
  • Promote positive morale and friendly attitudes
  • Additional administration tasks as requested by Events team

Requirements:

  • Must be able to read, write, speak, understand and comprehend English fluently
  • Must have at least 1 year of experience in a Resort Hotel in an administrative role
  • High School Diploma or equivalent required; Bachelor’s Degree preferred
  • Previous banquet, event or sales experience preferred        
  • Above average proficiency in Microsoft Office required
  • Excellent communication skills required
  • Ability to read and comprehend complex correspondence
  • Ability to effectively present detailed information both verbally and in written form to employees, managers, executives and guests
  • Must be able to lift up to 25 lbs
  • Must be able to stand, walk, bend, crouch, crawl, climb and kneel
  • Must be able to work as part of a team
  • Must be able to work weekends and evenings occasionally
  • Knowledge of the area helpful, but not required
  • Knowledge of Marriott systems PMS, Marsha, CI/TY, Passkey; helpful, but not required
  • Resumes required
  • In-person interviews required
  • Two satisfactory reference checks required
