Job Description Summary:
Ensure sanitation standards and cleanliness in all Purchasing & Store Room areas. Assist staff in keeping areas clean and sanitary at all times while ensuring that all inventories & stocks are neatly stored in a safe accident-free manner.

QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE

Willing to be trained or prior 1 year related experience. Requires knowledge of the principles and practices within the purchasing & receiving area. Ability to make quick decisions in high stress situations. Excellent customer service skills. Pleasant and positive personality. Well organized. Ability to listen effectively, speaks, read and write English clearly to ascertain and document important information. Ability to follow written and or verbal instructions.

ESSENTIAL FUNCTIONS:

Delivery of Package(s)

All packages being delivered must enter the facility through the Loading Dock only. Fedex and UPS deliveries are usually expected to arrive between 9am and 10:30am Monday through Friday. DHL usually arrives later. US Postal Service delivers and picks up mail (between 12pm-1pm) from the Technology Center Monday through Saturday. Purchasing must check all materials being delivered, and input information on the Daily Receiving Log. This information should be entered for proper tracking. After Purchasing office hours, Security/MOD takes over this task and handles in the same manner. Purchasing will refer to the Daily Events Report which is distributed every Monday for events scheduled 3 weeks out, in order to research group names and their actual dates of arrival. (This report is most helpful since it provides both the Account Name and POSTING names of upcoming groups). All packages for a guest or group must be logged and placed inside the Package Room upon delivery. In the event the shipment is too large to place inside the Package Room, then shipment may remain just outside on the Loading Dock. Package Room should remain locked at all times.

Packages with GROUP NAMES

All packages addressed with names of groups already inhouse should be delivered to Tech Center immediately. Tech Center will then determine where package(s) should go.

Occasionally, for very large deliveries that need to be taken to Tech Center immediately, Purchasing may ask for assistance from the CS Floor staff to make sure this happens in a timely manner.

Tech Center will find out where package(s) should be taken to and coordinate delivery to that location. In most cases, CS Floor staff will be called to deliver the package(s) to the appropriate meeting room. Tech Center will document action taken on Daily Receiving Log.

A signature is required on the Daily Receiving Log confirming receipt of any package.

If the package(s) is addressed with a group name scheduled in the future, the package will be stored in the Package Room awaiting further instruction, and shelf location will be indicated on Daily Receiving Log. Purchasing will also contact Conference Services to let them know that packages have arrived.

Packages with GUEST NAMES ONLY

For any packages addressed with guest name only, and no group name, the purchasing representative must call the Front Desk to see if guest is scheduled to stay in the hotel.If the guest is already checked into the hotel and…

…the package is letter-size, purchasing will automatically deliver the package to the Front Desk. Front Desk will call the guest to let them know they are holding the package. Purchasing will document this action on Daily Receiving Log.

…the package is larger than letter-size, Purchasing will call the Front Desk. Front Desk will then contact the guest in their room to inform them their package is here. The package will be stored in the Package Room awaiting further instruction, and shelf location will be indicated on Daily Receiving Log.

If the guest is scheduled to arrive, the Front Desk agent will enter a message in his/her reservation informing them upon check-in that package has arrived. The package will be stored in the Package Room awaiting further instruction, and shelf location will be indicated on Daily Receiving Log.

If the guest name is on the package, but not expected to stay inhouse, the package will be stored in the Package Room, and shelf location will be indicated on Daily Receiving Log.

A signature is required on the Daily Receiving Log confirming receipt of any package.
  • Purchasing will fax a copy of the Daily Receiving Log to the Tech Center and Front Desk twice a day on Monday through Friday showing the latest deliveries received in time order. When a guest inquires about a package, refer to the Daily Receiving Log first.
  • Once a week, Purchasing to check all storage areas of the Package Room to make sure all materials held are for future groups and guests only.

    During this process if package(s) for inhouse groups are found, Purchasing to deliver immediately to Tech Center. Tech Center will determine where package(s) should go from there.

    During this process if package(s) for inhouse guests are found, Purchasing to deliver immediately to Front Desk. Front Desk will call the guest in their room to let them know they have the package.

    During this process if package(s) for past groups are found, Purchasing to contact Conference Services Manager to determine if materials should be returned to Sender or identify proper action to be taken.
Retrieving Package(s) from Package Room

Any staff member requiring access into the Package Room to obtain or check on a package must first contact Purchasing (Mon-Fri 7am-5pm, Sat 7am-12pm) or Security/MOD after hours to gain access into the room. Upon entering, Purchasing and Security/MOD will be responsible for updating the Daily Receiving Log, with information showing which package(s) are being retrieved and by who. After delivering the package to the requested location, appropriate signature should always be retrieved and kept on record on the Daily Receiving Log.

MARGINAL FUNCTIONS:

1. Maintain Stock Room by making sure it is always clean.

2. Cooperate with kitchen and restaurant personnel and their needs to ensure that guests are taken care of.

3. Perform special projects and other responsibilities as assigned.

4. Upon employment, all employees are required to fully comply with Benchmark rules and regulations for the safe and efficient operation of hotel facilities. Employees who violate Hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.

ENVIRONMENT:

Indoors, dimly lit, carpeted, climate controlled environment. Hard kitchen floors with occasional slippery or greasy areas. Outdoors, cement surfaces, with exposure to outdoor climate and elements.
