Position summary

Summary:

This position has the responsibility for all import operations for Materials Replenishment, spare parts and miscellaneous shipments to Hershey manufacturing facilities (from communication with suppliers to pre-importation audits for documentation and coordination with Customs Broker). Additionally, the MRO Administrator will be responsible for supporting determination, maintenance and record keeping of HTS, schedule B classifications, ADD/CVD documentation, country of origin management of imported spare parts and any permits related to their importation process.

Major Duties/Responsibilities:

  • Classify spare parts and MRO equipment shipments with the applicable HTS code and/or Schedule B code. Maintain a classification database with all assigned codes to ensure consistent classification as well as for auditing purposes. Training of different stakeholders.
  • Import process- Coordination with procurement team to proactively prioritize shipments, communication with suppliers, audit of pre-importation documentation, determination of permits, COO, value and any required admissibility information to properly clear customs, communication with Customs broker and record keeping. Process includes review vendor and in-house invoices to make sure all of the necessary information is included; i.e. complete descriptions, Incoterms, value, COO etc. Along with reviewing the invoices the Import Administrator will also follow up with the vendor or person responsible in order to get the invoice updated and to provide them with instructions on how to create compliant invoices in the future.
  • Coordinate freight bill payment activities for all MRO shipments. Perform freight bill audit for all MRO shipments to Hershey production facilities, ensuring charges match pricing contracts and quotations. Approve all bills for payment. Prepare all bills for payment and coordinate the freight payment activity with disbursement group to achieve timely and accurate payment. Resolve billing and freight payment discrepancies directly with selected carriers.

 

Minimum knowledge, skills and abilities required to successfully perform major duties/responsibilities

 

  • Detailed understanding of import/export processes and customs compliance regulations.
  • Detailed understanding of broker operations and business requirements.
  • Experience using the HTS to accurately assign classifications to equipment, spare parts and miscellaneous items.
  • Experience working with a Customs broker and knowledge of entry requirements
  • Computer skills including data entry, PC, Windows, database and spreadsheet.
  • Interpersonal communication skills, relationship management and collaboration skills.
  • Attention to details, project management experience
  • Excellent organizational skills.
  • Effective time management/prioritization skills.
  • Strong follow-up skills.

Minimum Education and Experience Requirements:

  • BS/BA in Logistics, Business or equivalent experience.
  • Minimum of 2-3 years related Customs/Import experience. Entry brokerage experience is a plus.
