Event Manager Job Summary: Coordinates arrangements for group meetings either personally or through subordinates ensuring a seamless and flawless execution. Maintains a balance between delivery of hospitality and service and promotion of the profit centers   Duties and Responsibilities (specific areas of responsibility include but are not limited to): After receiving the signed agreement, first reviews and then discusses with group sales manager any areas including concessions , promotional / marketing items and method of payment / billing for clear and concise execution of group event. Consults with representatives of client group or organization to plan details such as number of persons expected, display space desired, and food service schedule. Plans and implements special events and other meetings, conferences and special projects. Coordinates arrangements with appropriate areas such as Catering and Facilities. Creates menus and negotiates pricing with guests; creates clear and concise banquet event orders consistent with established pricing and goals. Ensures a seamless and flawless execution of presentations and other guest activities. Completes initial contract negotiations and vendor service agreements. Notifies various department heads of arrangements. Directs workers in preparing banquet and convention rooms and erecting displays and exhibits. Inspects rooms and displays for conformance to group needs and desires. Arranges publicity, quickly and effectively resolves complaints, and performs other duties to promote goodwill. Ensures meetings adhere to fire and safety regulations. Completes tasks on time or notifies appropriate person with an alternate plan. Establishes and maintains internal and external relationships by interacting and communicating effectively with diverse groups of individuals. Maintains contact with group representatives to ensure any unforeseen event is handled seamlessly and flawlessly. Confers with supervisor to review achievements and discuss needed changes in goals or objectives resulting from current or projected future status or conditions. Produces reports for operational, financial, and strategic planning purposes. Oversees event financing by creating detailed budgets that forecast final estimated costs of events; monitors expenses. Develops and uses measures to assess event effectiveness and success. Maximizes cost effectiveness within the area by ensuring compliance with established budget, labor, and revenue benchmarks. Assists with the development of short and long-term strategic planning; ensures delivery is consistent with Sol Casinos' mission and business strategy. Recommends and implements techniques to improve productivity, reduce costs, and improve guest service. Meets challenges with resourcefulness; develops innovative approaches and ideas. Exhibits superb team leadership/development and collaborating ability while working with team members and other staff. Conveys feelings of warmth, caring, safety, and efficiency to each guest and ensures that all team members do too.
