Event Assistant

Summary of Position

The Event Assistant helps to produce our award-winning annual Strictly Business Awards luncheon including registration, logistical planning and artistic production. This community event and fundraiser annually attracts over 1,100 business and community leaders and raises more than $1 million for JVS.

PROGRAM:

Development

Principal Relationships

  • Reports to: Development Manager
  • Collaborates with: Development and Volunteer Coordinator; Executive/Development Assistant; Event Manager
  • Supervises: None

Scope

  • Data management
  • Solicit and compile in-kind donations from local businesses
  • Customer Service Provide day-of event execution
  • Administrative support duties

QUALIFICATIONS AND COMPETENCIES:

Minimum Competencies

  • Motivated self-starter and creative problem solver with a strong sense of accountability for work
  • Deadline driven with ability to work well under pressure
  • Excellent organizational skills with attention to detail, accuracy and ability to meet deadlines and objectives
  • Excellent written and oral communication skills – ability to communicate with top Bay Area businesses, VIPs and vendors with patience, diplomacy and tact
  • Ability to work independently as well as in a team, and manage multiple projects in a very fast-paced, performance-oriented environment.
  • Ability to work in a multi-cultural environment with a diverse staff and clientele.
  • Great attitude and flexibility

Preferred Competencies

  • Computer proficiency in Office 2016 (Excel, PowerPoint, and Word) and Internet research abilities
  • A passion for the JVS mission

Minimum Qualifications

  • Prior experience with Raiser’s Edge and/or other fundraising/relational databases (such as Salesforce)
  • Flexibility to work evenings and/or weekends leading up to the Strictly Business event, as well as full availability on the day of the event

Preferred Qualifications

  • Two or more years’ experience coordinating and/or assisting in the production of mid to large scale events

PRINCIPAL ACCOUNTABILITIES/ESSENTIAL FUNCTIONS

  • Raiser’s Edge data entry (guest constituency, event attendance, seating information, meal choices, etc.)
  • Conducts all RSVP phone calls and RSVP follow-up emails. Works closely with the senior management, donors, Board members, public officials, and other VIPs to capture guest lists
  • Assists with the inventory, preparation and procurement of all event materials (i.e. nametags, seating signs, program, giveaways, proclamations)
  • Assist with day of event production
  • Assist with post event follow-up including debrief sessions, correspondence and attendance and data entry
  • Other administrative duties as assigned

PHYSICAL REQUIREMENTS OF THE POSITION

  • Applicants must be able to use computer, mouse, keyboard, and phone for extended periods of time, either in sitting or standing postion
  • This position will be working in a typical office setting, with no extremes in temperature or lighting.
  • Applicants should be able to carry/move objects that may weigh up to 25 lbs.
  • Applicants should be able to work with equipment typically found in an office and should be able to perform the essential functions of the job, with or without accommodation. Possible accommodations needed should be discussed prior to the onset of employment and/or the interview process.

Benefits: Not eligible for benefits except those required by law (workers’ compensation and contributions to Health San Francisco Flex Plan, Sick Leave will accrue, but can’t be used until after 90 days)
