Job Purpose: Provides administrative support to the Sr. Vice President and Direct Report Group, and occasionally other National Claims personnel

Results Expected and Duties Performed
50%

Provide administrative and organizational support for Sr. Vice President by managing calendar, maintaining Outlook contacts, follow ups, delegated projects; prepare all business expense reports (ensure corporate expense handling are in compliance); make travel arrangements; develop or assist with development of presentations, communications, and reports as requested; coordinate meetings and agendas. Expense budget: Measure, communicate and provide guidance to each relevant leader regarding expense budget variances and/or concerns; Track and maintain all vendor agreements for the department.

Provide administrative support to Sr. Vice President Direct Report Group (DRG) by coordinating staff meetings, agendas, follow-ups, scorecards, reports, event planning, coordinating travel arrangements; Ensure DRG expense reports are submitted on time, review for compliance and address any issues prior to submittal to Sr. VP for approval.

15% Assist National Claims Team in other projects or tasks as assigned including, but not limited to, Legal Expense processing, complaint responses, coordinating travel and reconciling invoices and processing for payment.

Job Requirements:

Education: Bachelor's degree required, with preference given to Business or related field of study.

Experience: At least 2 years prior experience supporting a Senior Executive is preferred. Insurance background preferred.

Skills and Abilities: The ability to pay attention to detail; the ability to work independently and as a member of a team; the ability to manage multiple priorities; typing skills, excellent written and oral communication skills. Excellent grammar, composition and proofreading skills. Excellent organizational skill with the ability to concurrently manage multiple projects and assignments. Microsoft Office: Word, Excel, and PowerPoint

Other: High degree of professionalism and integrity when handling confidential and sensitive information.

Office Equipment and Software: Office equipment: Telephone, computer, printer, fax, copier and calculator. Proficiency in MS Outlook, MS Word, MS Excel, MS Power Point, and Internet. Other software depending on circumstances: Image Right, AS400, Arriett, Guidewire Claim system and LegalX

Decision Making: Normally follows established steps and procedures, but may make some alterations and/or select specific steps from established options; develops options by which own work can be accomplished.

Interpersonal Communication: Interaction with customers, all levels in the organization and outside vendors.

Confidential and Sensitive Information: This could include potential insider information, employee records and confidential business transactions of a time and information sensitive nature being addressed to the Sr. VP
