Responsibilities and Qualifications

Overview

Greets, instructs, and directs patients and visitors. Performs a variety of clerical duties for physicians and clinic staff. Answers incoming calls and dispatches messages and/or calls from all co-workers. Create telephone encounter as necessary. Monitors and revises physician schedules as appropriate. Performs patient care activities within the scope of data entry/processing and patient account functions. Answers questions on insurance claims, obtaining disability insurance benefits, home health care and medical records.

In communicating with patients, families, visitors and co-workers, a caring friendly, personal and professional approach is expected. Performs related duties as assigned.

Responsibilities

Clerical

1.1 Pulls, files, sorts, distributes and maintains medical records.

1.2 Prepares meeting reminders for all physicians.

1.3 Relay telephone calls to appropriate area or take messages.

1.4 Handles mail.

1.5 Notifies answering service when special situations arise.

1.6 Locums on-boarding.

1.7 Physician on-boarding.

1.8 Invoice processing.

1.9 Physician scheduling.

1.10 Cost & Utilization data reporting & general data reporting.

1.11 Payroll for Physician and staff.

1.12 Record and foll up on Exposure events.

Office Inventory

3.1 Keep track of office supplies and ordering when necessary.

3.2 Order snacks, water, sodas for office.

General Duties

2.1 Wears proper personal protective equipment when appropriate.

2.2 Observe universal precautions consistently.

2.3 Wears clothing and Health System badge consistent with dress code, and attends to personal hygiene to maintain a clean, well-groomed appearance.

2.4 Meets Health System attendance standards.

2.5 Performs related duties as assigned.

2.6 Attends required meetings and participates in training and committees as required.

2.7 Keep a clean environment.

2.8 Answers calls in a pleasant, professional, helpful manner.

Qualifications:

Education: Bachelor's degree in Health Care field or previous experience will be considered toward education requirements.

Licensure: None.

Experience: Prefer one to two years experience in medical clinic setting, or other acceptable management experience.

Certification/Registration: None.

Other: Ability to exercise initiative, problem-solving, decision-making and to apply policies and principles to solve everyday problems and deal with a variety of situations. Ability to read, understand and follow written and oral instructions. Must be able to remain calm and react effectively during emergency situations. Must be able to communicate clearly and establish and maintain effective working relationships with physicians, patients, staff and the public. Ability to establish priorities and coordinate work activities. Equipment used: Must be able to operate multi-line phone, fax, computer and copier.
