Are you looking for an important role on a close-knit team?

As a Receptionist/Administrative Coordinator, your ultimate goal is to keep the team humming. You will also be the company’s first impression to new prospects and current clients, while supporting our associates.The ideal candidate for this role is friendly, dependable, a team player and follows a process until the very end. You will work closely with Clients, Associates and upper management in support of operational needs including but not limited to:

Responsibilities:
  • Arrange and coordinate schedules and appointments for Associates.
  • Prepare weekly, monthly and/or quarterly reports, tracking works as specified by COO
  • Re-confirming appointments
  • Preparing seminar materials
  • Entering new leads into client database
  • Sending appointment email confirmations
  • Mailing introductory packets to scheduled 1st appointments
  • Mailing hand written cards for 1st appointments, new clients, referral cards
  • Filing documents
  • Maintaining office
  • Faxing Documents

  • Ability to communicate professionally and effectively in person, on the phone, and through writing.
  • Accurately complete detailed forms and reports

  • Ability to manage priorities and workflow
  • Proven ability to handle multiple projects and meet deadlines

Schedule:
Monday - Thursday: 9:30 am to 6:30 pm
Friday: 9:30 am to 4:30 pm
