Administrative Assistant I

This is a complex and highly responsible, full time position, providing administrative and technical support to the Office of Health Equity Program Manager and OHE team members. Incumbent should demonstrate attention to detail, respect for confidentiality, strong oral and verbal communication skills and proficiency in Microsoft Word, Outlook, Excel and PowerPoint. Must be comfortable managing multiple computer-based systems. Strong written and verbal communication skills required for internal and external communication, and document/material creation and review. Proficient in Microsoft Word, Excel and PowerPoint required. Position requires occasional local travel.

Responsibilities include:

Answering and routing phone calls as appropriate

Scheduling meetings, coordinating agenda and associated logistics as directed

Serves as the scribe for team meetings and other Community Health and Office of Health Equity meetings as directed

Preparing requests to incur travel expenses, vouchers for reimbursement of travel expenses, and submits both to appropriate supervisor for signature an approval

Purchasing appropriate supplies utilizing a P-Card and rectifying charges in SAMAS

Creating and managing tables to track data for projects such as surveys, quality improvement and other projects

Formatting and proofreading reports, brochures and other documents as requested by team members, to support Family Planning, Healthy Start, Community Dental, Health Impact Assessment, Health in All Policies and other initiatives

Assisting with the development of marketing materials for outreach meetings and events

Supporting data entry needs for Family Planning as directed

Minimum Qualifications:

High school diploma or GED equivalent

Valid Florida driver's license or able to get one within 30 days of hire.

At least three years' experience using Microsoft Office Suite, primarily Word, Excel, and PowerPoint

At least two years' data entry experience

At least one year experience ordering office supplies

At least one year experience scheduling appointments and meetings in a work environment

Strong oral and written communication skills

Other Desirable Qualifications:

Interest in the public health field

Experience preparing health-related materials such as reports, brochures, etc.

High level of proficiency in Microsoft Office Suite, primarily Word, Excel, and PowerPoint

Ability to prioritize work

Fast and accurate data entry skills
