Marketing Administrator

Daily
  • Perform receptionist duties at Marketing Center entrance
  • Answer incoming phones and emails for Marketing, Design Center and Learning Center and log and report as needed
  • Assist in making sure Marketing Center is always ready for customer visits
  • Make arrangements as needed for meetings and customer in Marketing Center
  • Pick up mail and deliver to Marketing, Design Center and Learning Center
  • Check multiple incoming channels for market data (email, Google Trends, newsletters, RNG, etc) then log into MIS/database
  • Review key website links to ensure they are working
On-going
  • Lead and drive various marketing projects from start to finish
  • Serve as “general contact” on HP website and “phone contact”
  • Manage Marketing literature program with FUSE Graphics -
    • Maintain user list
    • Contact FUSE as needed with changes to list
    • Maintain distribution list for new literature mass mailings and for mail campaigns
  • Manage HP Promotional Gift Program with Promotional Marketing Concepts and Brad Roche
    • Process PMC orders from sales and dealers for HP Reorder low inventory items and create PO for HP merchandise added to program
    • Update Customer Gift Catalog and Employee Purchase Catalog as needed.
    • Post PMC Inventory list and Value report to Marketing site
  • Manage Stationary Print Program with Accent Graphics
    • Receive and process orders for HP envelopes and stationary stock
    • Create HP Purchase Order requests and receive and process invoices
  • Oversee the samples room
    • Responsible for maintaining, organizing and ordering samples upon request and pulling samples as they are discontinued.
  • Supervise Ideation and Collaboration cleaning, upkeep, merchandising set changes, display plan-o-gram and signage
  • Create FedEx labels for documents sent out by Marketing, Design Center or Learning Center team
  • Help with miscellaneous projects for Design Center and Learning Center
Marketing Accounting
  • Process Purchase Order requests, approved invoices and check requests for Marketing, Design Center and Learning Center team. Maintain marketing department accounting ledger, track transactions, evaluate budgets, reconcile monthly accounts, oversee vendor payments and build monthly financial reports. Update Excel ledger file to automate accounting procedures and improve overall processes.
Online
  • Check website pages and test applications on monthly bases
  • Collect incoming leads from phone, email, trade show or other channels; log in appropriate lists and forward to appropriate persons. Update ledger with lead information and then cross-reference with Google Analytics for monthly reports.
  • Collect HP website content from multiple content providers at each division and update website using the Wordpress CMS. Add HTML specific content for additional functionality.
  • Interact with website development company to manage various projects to completion.
  • Maintain, upload, assign group permissions and track Marketing Information System files
    • Review incoming resources (photos, marketing literature, trends information, various online resources), name files, meta tag files, select group permissions and manage push notifications.
    • Input trends information and maintain opt-ed database
  • Help acquire, organize, analyze, build reports and disseminate market research information for company wide use. Use online MIS, MS Excel and MS Access to help organize and direct incoming research.
  • Develop, implement, compile and help analyze quantitative and qualitative research projects for new product development, existing product upgrades, product conjoint analysis, commercialization, customer satisfaction, competitive analysis, etc.

    • Select appropriate audience list
    • Input survey into online survey module
    • Test and manage approval of surveys
    • Measure survey response
  • Compile Google Analytics for all web properties, keywords and SEO metrics
  • Maintain, Marketing, HP Sales-Marketing and HP Dealer SharePoint sites
  • Oversee Go Daddy online account management for multiple websites
Database & List Building
  • Build marketing specific CRM program to capture leads and track interactions.
  • Manage lead lists; send lists to various external venders and import (merge/perge) scrubbed list from various vendors. Work with IT and Sales to update customer list on quarterly bases.
  • Maintain / Create distribution lists:
    • Literature program
    • Dealer Organization
    • Annual calendar/daily planner order
  • Update Sales Directory, distribute updates and post to Sales and Marketing SharePoint
As Needed
  • Event and Hospitality Management -
    • Coordinate offsite meetings for Marketing and Learning Center events, trade shows and special events (Ex: FMI, offsite training events, meetings, customer design council)
    • Coordinate event planning for Tradeshows, Conferences and Dealer meetings
      • Manage registration process, hotel reservations, event planning as required
      • Table Top Display - Coordinate shipment and track return
  • Assist Dealer Manager with Dealer Group (Domestic and International) communications -
    • Receive new signed Dealer contracts, maintain backup file and deliver to appropriate Executive (CFO)
    • Receive changes in Dealer contact information and initiate updates to Sales Directory, Dealer contact list, HP website and email distribution lists, etc.
    • Maintain updated specification for New Dealer Welcome Packet, distribute to new Dealers and place order for welcome package that includes assorted HP logo items such as t-shirts and hats for service techs when requested by Dealer Manager and Approved by V.P. of Marketing
    • Set up new dealer personnel with user id for online literature program (FUSE) and learning center website (Rusty Walker)
  • Maintain updated maps for HP and Dealer sales teams
  • Assist with customer visits as needed
  • Direct inquiries for presentations, logos, press releases, etc. to Marketing Management
General Office Duties:
  • Order office supplies for Marketing Design Center and Learning Center teams
  • Order kitchen supplies for Marketing Center kitchen area
  • Order breakfast, lunch, snacks, and/or drinks for meetings in Marketing Center
Annually
  • Work with Executive Administrative Assistant to order Christmas Cards
Skills
  • Customer service and customer satisfaction experience including customer interaction, surveys and feedback
  • Understanding of Oracle accounting systems, payables, receivables and the related software
  • Knowledge of database development, management and the database applications such as Excel and Access
  • Basic experience with HTML and Wordpress website development, administration and maintenance
  • Experience leading and managing various projects and small teams to accomplish specific project goals
  • Experience with market research projects including vendor selection and interaction, project tracking and timelines
  • Intermediate knowledge of SharePoint
  • Written and verbal communication skills
  • Basic statistical analysis
  • Self starter and self driven
  • Organized and proactive
Hours: Monday - Thursday 6 AM - 4:30 PM

Pay: $15/hr
