Position Overview: 
Responsible for promoting, setting up, and executing events for RockSugar Southeast Asian Kitchen®. Events are defined as groups of 13 or more, groups of any size requesting a set menu, a private room, specific requirements or special needs.

As an integral part of a team, the Event Coordinator is responsible for continuously looking for ways to improve each guest’s experience throughout the reservation process by ensuring accurate reservation times, accommodating special requests, strategic mapping of reservations to maximize seating and walk-in guest traffic providing a friendly and hospitable experience for every guest. The Event Coordinator will also support the management and staff as needed during peak periods of operations, to ensure each guest is hosted with genuine care and attention throughout his/her phone or dining experience within Company policies, procedures and standards.

Specific Job Duties and Responsibilities:  
  • Possess a calm/assured demeanor, exceptional speaking and impeccable organizational skills.  
  • Performs all duties and responsibilities in a timely and effective manner in accordance with Company guidelines to achieve the overall objectives of this position.  
  • Responsible for taking phone and in-person reservations and entering them into the OpenTable reservation system.  
  • Communicates with guests pre and post event ensuring their experience is executed flawlessly and their expectations were exceeded.  
  • Builds relationships and demonstrates excellent interpersonal skills. Able to recognize and greet frequent guests by name.  
  • Maintains a favorable working relationship with fellow staff members, promoting a cooperative and harmonious working environment.  
  • Pre-assigns tables for online, in-person and phone reservations on a shift by shift basis honoring special requests, ensures ample seating for walk-in guests are available while taking into account the restaurant floor plan and phasing patterns.  
  • Reviews daily/weekly/monthly banquet event orders with restaurant management team to discuss set up, menu, and special details.  
  • Assists host staff during peak hours of operation to ensure prompt, attentive and hospitable service for every guest.  
  • Develop and maintain working relationships with Local Businesses, Hotels, Destination Management Companies and Travel and Tour Companies.  
  • Identifies, joins and attends community organizations with General Manager, such as city Convention Bureaus and attends Chamber of Commerce meetings, to develop strong relationships within the area. 
  • Inform management team on local area events and upcoming conventions that would promote the restaurant. 
  • Conducts weekly planned off-site visits to local concierge and local businesses to build clientele.  
  • Responsible for developing and maintaining guest and concierge tracking systems to ensure that all requests are being answered and tracked on a daily, weekly and monthly basis.  
  • Maintains updates and reconciles all receipts and banquet event orders. 
  • Completes monthly and year-to-date financial worksheets and forwards to appropriate parties.  
  • Updates and revises all private event menus, contracts, and sales materials as necessary to reflect menu changes and Company policies. 
  • Informs immediate supervisor of all opportunities or unusual matters of significance and takes the appropriate action.
 

Qualifications



  • Knowledge of hospitality/restaurant/retail/special events operations/guest relations.  
  • Experience with the OpenTable reservation system or an equivalent system. 
  • Proficient with Microsoft Office systems.
  • Demonstrates the ability to verbally communicate effectively and positively. 
  • Able to clearly verbalize guests needs to other staff members. 
  • Excellent written communications skills. 
  • Interpersonal skills and Teamwork. 
  • Basic safety knowledge. 
  • Detailed/organized.   
  • Use of common sense understanding (knowledge and understanding) to carry out routine tasks with appropriate follow-up.  
  • Assists and will be scheduled to work in various workgroups when business dictates  
  • Will perform other staff or manager functions or duties during peak hours or during slow seasonal private event periods as necessary.
Working Conditions:
  • Ability to work in fast-paced environment while maintaining organization, control and positive guest and staff relations.  
  • Dressed neatly, well groomed in company approved attire at all times. 
  • Able to read menu items, wait lists.
  • Able to work 8 hour shifts, plus ability to stand, sit, squat or walk for extended periods of time
  • Able to grasp, reach overhead, push, lift and carry up to 50 pounds.
