Job Summary


Answer inquiries and provide information to customers, visitors, and Health Care Professionals regarding activities, offices, and employees within the organization. Performs varied and diverse office clerical duties. Requires knowledge of office systems and office procedures. Duties may include a combination of answering telephones, purchase order processing, typing, office machine operation, document scanning, and filing.

Principal Duties and Responsibilities

• Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
• Answer telephones, direct calls, and take messages.
• Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
• Communicate with customers, visitors and Health Care Professionals to answer questions or explain information.
• Open, sort, and route incoming mail.
• Review files, records, and other documents to obtain information to respond to requests.
• Obtain customers\' names, addresses, and billing information, product numbers, and specifications of items to be purchased, and enter this information on order forms.
• Read source documents such as purchase orders, emails, and facsimile forms, and enter data.
• File copies of orders received.
• Inform customers by email or telephone of order information, shipping dates, and any anticipated delays.
• Keep a current record of staff members\' whereabouts and availability.
• Perform duties, such as sorting brochures or straightening chairs to maintain lobby and/or reception area.
• Compile information about new accounts, enter and maintain account information, and file related forms or other documents.
• Process client supply orders
• Address inquiries related to patient results and test submission
• Troubleshoot problems and log complaints as appropriate
• Provide phlebotomy services to walk-in customers as needed upon verification of proper paperwork
• Dispatch STAT requests to phlebotomy department
• Communicate alert, critical, and STAT results to clients in a timely manner
• Data Entry and other duties as assigned
• Other duties as assigned

Expected Areas of Competence
  • Ability and willingness to work a flexible schedule including overtime is a requirement of this position.
  • Required to work some holidays.
  • Must possess excellent telephone etiquette. The ability to handle multiple telephone calls in a positive manner while maintaining a positive relationship with customers is essential to this position.
  • Must be skilled in verbal and written communication techniques.
  • Organizational and time management skills are essential.
  • Highly developed sense of integrity and commitment to customer satisfaction
  • Must maintain a high degree of professionalism in a potentially frustrating environment with extreme time constraints.
  • Strong decision making and analytical skills
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Possess a strong work ethic and is a team player
Education/Experience Requirements
  • High School Diploma or Equivalent 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong multi-tasking and time management skills
  • Previous work experience interacting with customers
  • Ability to work as part of a team
  • Customer Service in a Healthcare environment and switchboard experience preferred
