Job Overview:

Match staff with business schedules. Monitor and report variances to employment status and to FHE plan. Arrange data to allow efficient and effective decision making for frontline managers to have the right staff with the right skills as needed. Project workforce needs within stated weekly and monthly plans. Coordinate a pool of qualified and trained staff to provide operational support across all facility areas. Work may include on-boarding of new hires, coordinating training, and ensuring performance issues are addressed as needed. Perform other duties as assigned.

Essential Functions:

• Work closely with operational leaders to prepare for staffing needs projected by volume plans (daily, weekly and monthly). Create/use staffing tools that model staffing needs based on business demand changes
• Maximize use of employees in various employment status categories while in compliance with employment policies. Escalate situations of non-compliance based on reports.
• Run reports to show trending overtime situations and determine causes of OT.
• Coordinate call-in process to include appropriate assignments/schedules for on-call associates.
• Coordinate arrangements for temporary associates.
• Ensure training certifications are up to date for on-call associates.
• Develop and maintain accurate reports for contingent employees, training certifications, work schedules, employment status, overtime, reporting/GL reports, call lists, etc.…
• Assist managers with accurate time-keeping for on-call associates. May enter schedules and make corrections on an as needed basis.
• Coordinate fulfillment of temporary employees according to established agreements.
• Lead and/or participate in daily staffing meetings.
• Work with operational leaders to address any performance issues.
• Ensure new hire performance of on-call staff is assessed before the 60 day mark and go/no-go decision is made before first 90 days of work.
• Any other function management deems essential (administrative projects, office support, annual review projects, etc.).
• Regular, dependable attendance & punctuality.

Qualifications:

Education/Experience:

• HS diploma or equivalent
• Excellent written communication skills - 2 years’ experience summarizing data and outlining directions.
• Proficiency in Microsoft Word, Excel, functional systems
• Uses of intermediate/advanced excel skills (pivot tables, exporting from HRIS systems to excel, producing graphs, etc.…).
• At least 1 year experience working with main-frame/HRIS systems.
• At least 1 year knowledge of recruiting systems
• Strong service orientation; Works harmoniously and effectively with others as part of a team

Communication Skills:

• Excellent written and verbal communication skills.
• Ability to read, write, and interpret instructional documents such as reports and procedure manuals.
• Ability to communicate work processes to team members.
• Excellent Customer Service skills
• Excellent telephone skills
