Provide skilled, complex Office support to the Pediatric Urology Team and multiple physicians in a busy academic administrative setting. Utilize technical and business vocabulary, detailed knowledge of University computer systems and proficient knowledge of computer software programs (Microsoft Word, Excel, Power Point). Assist with scheduling meetings and accurately maintain Outlook appointment calendar. Compose, edit and process highly confidential correspondence. Respond to inquiries or complaints regarding matters of a sensitive or confidential nature. Sort and screen mail, maintain files, pick up and deliver catering order requests and make travel arrangements. Provide office and back up administrative support to other Administrative Assistants. Use effective communication skills and relate positively with patients, faculty, staff, and others within a diverse setting.
Responsibilities*
* Provide advanced, diversified, and confidential secretarial and administrative support to Pediatric Urology Team
* Maintain Outlook calendars -- schedule appointments and exercise discretion and judgment as to priorities.
* Schedule complex and routine meetings; prepare agendas and take minutes.
* Organize and prepare background materials for meetings.
* Draft and type emails, letters, memos, faxes, proposals, reports and other documents as required.
* Sort and open incoming mail
* Screen, prioritize and/or respond to phone calls, mail, and emails and handle independently as appropriate.
* Make travel itineraries, arrangements, promptly prepare and submit travel expense reports.
* Reconcile P-Card activity in Concur
* Maintain Providers Curriculum Vitae (CV)
* Oversee day to day maintenance of office equipment e.g., troubleshoot basic copier/fax/printer problems, replace toners, etc.
* Renew subscriptions, pay society dues, order books and other office equipment as requested
* CME Account reconciliation.
* Retrieve information from the Medical Library.
* Triage patient calls to nursing staff or physicians as appropriate.
* Provide coverage for Pediatric Urology Administrative Assistants.
* Maintain standing food orders for meetings by Pediatric Faculty
* Assist in the planning of yearly Pediatric Lectureship
* Deliver and pick up physician lab coats from Laundry Services.
* Order new lab coats.
* Order and maintain supply of physician's business cards, letterhead, and envelopes.
* Other duties as assigned by Pediatric Urology team and Urology Administration.
Required Qualifications*
* High School diploma or an equivalent combination of education and experience is necessary.
* Knowledge of PC's and desktop software with accurate typing speed of 50 wpm.
* Proficient user in Microsoft Word, Excel, and Power Point
* Basic experience with e-mail systems and calendaring systems.
* Proficient in grammar, spelling, and punctuation.
* Basic medical terminology competency is necessary.
* Demonstrated friendly, warm, articulate telephone manner with a clear, well-modulated speaking voice.
* Strong interpersonal and communication skills are necessary.
* Ability to manage stress effectively
* A minimum of two-years administrative assistant experience necessary

* Knowledge and experience using Outlook system
