Job Summary

The Event Coordinator for Courtyard DFW Airport North/Irving  is responsible for effectively executing deployment of all tasks associated with incoming hotel Functions and Groups.  He/She will report directly to the Director of Sales and assist with any auxiliary sales endeavors, as well as supporting the Front Desk and FD Supervisor when needed. This is a Supervisor position; the individual we are looking for must be extremely self-driven and has a passion for sales.  


Responsibilities

  • Develop a full working knowledge of the operations of the hotel.
  • Assist Director of Sales
  • Respond to surveys and reviews submitted through Trip Advisor and other websites.
  • Initiate and follow up on leads as required by DOS.
  • In charge of group bookings; includes creating contracts, rooming list, group resume and other group related functions.
  • In charge of event space bookings and other related event functions.
  • Assist in implementing special promotions relating to direct sales segments, i.e. parties, sales blitzes, etc.
  • Assist in the preparation of required reports in a timely manner.
  • Be familiar with all Regent Hospitality sales policies and selling techniques with an emphasis on maximizing occupancy and Average Daily Rate (ADR).
  • Conduct a professional, thorough site inspection of the hotel with clients, exhibiting key features and benefits of the property.
  • Use your property's computerized sales management system to manage the hotel's business, including (but not limited to) generating reports, entering business, blocking space and building accounts.
  • Meet and greet onsite contacts.
  • Develop networking opportunities through active participation in community and professional associations, activities and events.
  • Review meeting planner evaluations with Director of Sales to ensure the issue receives follow-up.
  • Perform other duties as requested by management.

Qualifications

  • At least 1 year of sales experience in a hotel or at least 4-5 years of progressive hotel experience is preferred.
  • Computer knowledge/skills required.
  • Flexible and long hours sometimes required.
  • Light work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.
  • Ability to read, analyze, and interpret general business documents.
  • Ability to write reports and business correspondence.
  • Ability to effectively communicate information and respond to questions from managers, clients, guests, and the general public.
  • Must be able to maintain high confidentiality of information.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees, managers and guests.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, verbal, diagram, or presentation form.
  • Enthusiastic, go-getter individual
  • Must be able to multitask and prioritize departmental functions to meet deadlines.
  • Attend all hotel required meetings and trainings.
  • Maintain high standards of personal appearance and grooming, which includes wearing the proper uniform and name tag.
  • Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.
  • Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.
  • Must be able to understand and apply complex information, data, etc. from various sources to meet appropriate objectives.
  • Must be able to cross-train in other hotel related areas.
  • Must be able to show initiative, including anticipating guest or operational needs.
  • Perform other duties as requested by management.
  • Maintain a warm and friendly demeanor at all times.
