The Westin Portland Harborview, a Marriott brand, and New Castle Hotels & Resorts' managed property is currently seeking a Senior Catering Sales Manager to join our team. The Westin Portland Harborview is the premier hotel and event location in downtown Portland's Arts District, featuring over 15,000 square feet of meeting and conference space, 289 guest rooms, a fine dining restaurant and the iconic Top of The East Lounge.  This historic building has truly transformed itself over the last 90 years and now provides a classy and sophisticated meeting place for all visitors to gather.


Position Summary:  The Catering Sales Manager is responsible for selling and servicing events. Primary sales efforts are in Banquet Food and Beverage and include menu planning, agenda setting, and hotel meeting services. Duties also include contract review and facilitating communication before, during and post event with pertinent hotel staff to ensure a high level of service.


Accountabilities: The Catering Sales Manager also hosts site inspections, maintains strong customer relationships, participates in and may lead event meetings and other staff meetings, and works as a team member with the sales and catering staff. The manager also works closely with the Director of Sales and their exclusive outside caterer


Qualification Standards


Education & Experience:

  • 3-5 years of catering sales experience, or equivalent in a hotel or related field
  • Degree in Hotel Management Preferred
  • High School diploma or equivalent certificate required
  • Knowledge of operations in hotel industry
  • Knowledge of advanced sales techniques

 Tools & Equipment:

  • Calculator, computer, projector,  copier, scanner, telephone, other office equipment
  • Ability to work in Excel, Word, PowerPoint, Outlook
  • ISAC, City experience preferred

 Work Environment:

Duties & Functions


Essential:

  • Manage and oversee catering business for the hotel; focus on assigned markets
  • Maximize Catering revenues wherever possible and minimize erosion of check averages from price-sensitive groups. Communication with clients prior to events to initiate, negotiate, and close contracts for all catered functions.
  • Manage database of existing and potential clients; conduct regular follow-up and check-ins
  • Solicitation of direct-selling in the local, assigned catering market
  • Update and increase client prospects through active prospecting
  • Assist client with guest room reservations, accounting procedures, food & beverage selections, audio visual needs, equipment rental, vendor referrals, transportation, recreational activities, and any other assistance needed
  • Maintain pricing integrity and propose upscale menus for all groups
  • Prepare Event Orders for all functions, prepare group resume and work with all departments of hotel involved in execution of respective functions
  • Conduct Pre- and Post-Convention meetings
  • Know relevant policies – Menu and Pricing, Food Handling, Lost & Found, Cancellation, Service Charge, Guarantee, Payment, Shipping/Receiving, etc.
  • Create profitable menus and distribution of client expectations to Food & Beverage Departments.
  • Coordinate Catering support services (flowers, entertainment, decoration, A/V, etc.) to provide complete client satisfaction.
  • Coordinate with other hotel departments as well as outside vendors (including AV) to meet the group requirements
  • Coordinate all meeting space and food & beverage functions with the Banquet Manager
  • Conduct event planning and detailing for booked events
  • Physically double-check all function arrangements against specification of clients.  Conduct inspects of all meeting rooms for cleanliness and proper set-up; oversee Banquet/Convention set up staff.  Correct when necessary.
  • Ensure guest satisfaction from inception of the group until check out
  • Manager strong relationships with current clients and business to ensure repeat bookings.
  • Coordinate special guest room amenities with the Executive Chef
  • Coordinates food requirements for meetings with the Executive Chef
  • Conducts exit interviews with clients & Pre/post event surveys
  • Reviews charges with client to ensure accurate billing
  • Create proforma invoices and ensure payment is received
  • Attends all required management meetings
  • Meet or exceed assigned quarterly sales goals
  • Meet or exceed assigned quarterly food and beverage goals
  • Meet or exceed assigned quarterly solicitation goals
  • Approach all encounters with guests and employees in a friendly, service-oriented manner
  • Maintain regular attendance in compliance with New Castle standards, as required by scheduling which will vary according to the needs of the hotel
  • Maintain high standards of personal appearance and grooming, which include wearing the proper uniform and name tag when working
  • Comply at all times with New Castle standards and regulations to encourage safe and efficient hotel operations
  • Maintain orderliness of office supplies and equipment
  • Check and respond to electronic communications in a timely fashion
  • Keep immediate supervisors fully informed of all challenges or matters requiring his/her attention
