Nature of Work:        
 

Provide project and administrative support for all areas under Global Relocation Services and Immigration Services Department. 

Responsibilities:
 
  • Answer both domestic and international relocation inquiries via telephone, email and in person.
  • Advise transferees on details of the relocation policies and processes.
  • Create and participate in training webinars for any new stakeholders so that they are comfortable with the Relocation policies and processes.
  • Educate DHRs, DOFs, and Hiring Managers on the policies and processes related to Relocation and address any concerns that arise.
  • Collaborate with recruiters and participate in the training delivery so that the recruiters are well informed about their role in the relocation process.
  • Monitor domestic and international Relocation Authorization inboxes.
  • Create upload templates and procedures as needed to accommodate any changes or new clients.
  • Analyze and review authorization data generated from the Global Recruitment System, research any potential errors, reach out to the recruiter or hiring manager as needed and input corrections to ensure accuracy before uploading into relocation database.  Verify that the recruiter selected the correct relocation policy.
  • Review for accuracy, any missing data, and follow up required prior to uploading domestic and international authorizations into the relocation database.
  • Conduct all IT related testing for any new applications/software resulting from changes initiated by either Marriott or external vendors.
  • Serve as liaison between the Marriott Relocation team and external vendors.
  • Assist with benchmarking, updating and maintaining the relocation policies.
  • Maintain and update Relocation website as needed.
  • Create any new correspondence templates as needed by the team, assist with import processes into the system and testing before final roll out.
  • Partner with internal and external IT support in order to ensure that any changes to the systems used by the team are implemented correctly and in a timely manner.
  • Ensure that all documents, templates and forms remain accurate and edit for any changes as needed.
  • Onboard new team members to include obtaining access for all internal and external systems used.
  • Perform administrative duties including but not limited to distributing mail, mailing packages, trouble-shooting department equipment, reports processing, maintaining department calendar and office supplies.
  • Organize and schedule meetings and events, including annual Fall Forum.
  • Maintain files and records for immigration services department.
  • Extract immigration reports from both internal and external sites.
  • Serve as back-up to Immigration Manager for conducting immigration audits.
  • Extract transferee reports for Accounting, review for accuracy and analyze as needed.
  • Provide any other support to the team as needed.
 
 
Knowledge and Experience:
 
  • Ability to work independently and as part of a team.
  • Ability to work under pressure, manage multiple tasks, and be detail oriented.
  • Ability to apply tact and diplomacy.
  • Excellent spelling, grammar, punctuation, and proofreading skills.
  • Excellent communication skills: written, oral and listening.
  • Proficiency in Microsoft Office including Excel and PowerPoint.
  • Conscientious, dependable with a strong work ethic.
