The Job

The Ace Foundation Accounting & Department Coordinator will be responsible for general administrative support functions to the Foundation team as needed. These duties will include but are not limited to:
  • Answering phones and providing Foundation related information to caller
  • Maintaining and ensuring compliance of all Foundation files
  • Updating workflow processes for the department
  • Assisting in writing basic internal communication articles related to the Foundation
  • Administration of tasks related to post-event logistics (i.e. prize remittance, mailings, sponsor/donor communication, etcÂ…)
  • Maintain accurate and up to date reports based on need (i.e. sponsorships, participants, registrants, financial, etcÂ…)
  • Intense focus on accounting/database management to include:
  • Processing all accounting (payable/receivable) transactions including data entry of retailer income, vendor invoices/debits from various events and event income/expenses from corporate and Retail Support Center events for the Ace Foundation department.
  • Maintaining the Foundation's accounts and balancing with SAP; working closely with all positions within the Foundation and with external stakeholders; Accounting, Merchandising, RSC's, etc.
  • Entering all gifts in the Raisers Edge donor database and manage all updates to this database in terms of store and event information as well as software updates.
What you need to succeed
  • Associate's, Bachelor's degree preferred and/or experience equivalent
  • Blackbaud Raisers Edge Experience Required (all modules preferred including event)
  • Fundraising/Non-profit experience a plus
  • 2 years' experience in a large corporate high-volume environment, to include in-depth understanding of vendor and retailer relationships, billing practices, payment terms, and vendor payment processing.
  • Understanding of accounting processes, with knowledge of the cross-functional impacts and consequences generated from finance and receiving transactions.
  • Ability to understand, investigate and resolve problems using root-cause research skills
  • Must have experience in Microsoft Office, specifically basic skills in Word and basic skills in Excel
  • Strong analytical skills
  • Ability to compose reports and correspondence using good business vocabulary and proper grammar and construction.
  • Connect cross-functionally and develop effective internal and external working relationships with members of other departments.
