Overview

Facilities Coordinator – Financial Support

Are you results-driven with strong communication skills? Are you familiar with invoice review, reporting and able to manage various administrative tasks? Do you enjoy exploring measures and evaluating new methods for delivering financial and administrative support? If so, this may be the right opportunity for you!

In the Facilities Coordinator-Financial Support role, you will be responsible for providing support, resources and assisting the stores in maintaining a safe, secure, and clean environment for all customers and associates.

Responsibilities:

Financial

• 1st level invoice review for approximately 30,000 invoices per year

• Review monthly invoice statements and invoicing issues with Facility Specialists

• Research, process and pay fines and permit fees

• Assist Manager of Finance with monthly accruals, weekly check run validation and other tasks

• Validate accuracy of checks prepared by Accounting Department before delivery to vendors and municipalities

• Assist with new vendor setups in Service Channel and Oracle systems

• Perform P.O. entries into Oracle and work order entries into Service Channel for services/goods

• Research/audit work orders and P.O. entries as needed to ensure accounting compliance

• Administrative tasks such as tracking PTO, on call calendar, emergency contact listther

Skills and Abilities:

• Excellent oral and written communication skills, organization and follow-up skills.

• Ability to balance and prioritize competing demands.

• Successful candidate must possess a strong sense of urgency.

• Must possess in-depth financial research and reporting skills

• The ideal candidate must be proficient in Microsoft Word and Excel

• Service Channel facilities software and Oracle financial programs knowledge a plus

• Ability to multi-task is a must

• Must be able to work independently as well as in a team environment.

Candidates must have High School Degree or equivalent, College Degree preferred. Qualified candidates must possess a minimum of 4 years of experience in financial support. Facilities maintenance experience is a plus.
