Are you knowledgeable in the financial oversight and system administration for a Facilities Department? Including 2nd level invoice review, vendor set up, ongoing compliance with insurance and I-9 criteria, management of accrual process, and financial reporting? In the Facilities System & Compliance Specialist role, you will be responsible to insure compliance with Burlington processes and procedures as well as legal compliance, and expected to continuously improve processes to increase accuracy and efficiency. You will play a significant role as system administrator for the Service Channel work order system. “Owning” and maintaining the system is crucial to the operation of the Facilities department, as it is utilized by all 600+ stores, 500+ active internal users and hundreds of vendors. The entire facility maintenance process is run through the Service Channel system, including 70,000 work orders and 30,000 invoices annually. The system is used for communication between stores, corporate and vendors as to the status of every work order, and documents each step for an incident, from the initial report through the final invoice.

Responsibilities:

System Administrator:

• Owner and administrator of Service Channel system used by all stores and Store Ops Field Management to report Facilities, Waste Management, Energy, Loss Prevention and Landlord issues.

• Manage user permissions for 500+ users, 600+ stores, and authorities for all activities.

• Manage MLI for multilevel invoice approval, insuring company standards are met with regard to financial approval levels

• New vendor set up and compliance with insurance requirements, I-9, etc.

• System training for both internal associates and vendors, insuring proper use of the system

• Set up all new store locations in Service Channel and manage Territory/Region hierarchy

• Manage Facilities team interaction with other software systems

Financial/Compliance:

• 2nd level review and approval of all Facilities invoices (approx. 30,000 invoices)

• Research/audit work orders to maintain accurate GL coding, Capex Project coding, and Trade/Category coding

• Produce work order and financial reports, within Service Channel system, to aid Facility Specialists in successfully managing work orders and to aid Manager of Finance in delivering accurate expense projections and monthly accruals

Skills and Abilities:

• Excellent oral and written communication skills, organization and follow-up skills.

• Ability to balance and prioritize competing demands, lead a team and make decisions.

• Possess a strong sense of urgency.

• Ability to work independently as well as in a team environment.

• Must possess in-depth financial research and reporting skills

• The ideal candidate must be proficient in Microsoft Word and Excel

• Service Channel software and Oracle financial programs knowledge a plus

• Lucernex experience a plus

Candidates must possess a 4 year College Degree, Finance degree a plus. Qualified candidates must possess a minimum of 7-10 years related systems and compliance experience.
