The Reservations Supervisor—Tour Specialist is responsible for supervising a staff of 5-10 reservations agents and assisting with their training process. The Reservations Supervisor works closely with the sales team on tour contracting and is directly responsible for the fulfillment process for these tours. In addition, this position has a focus on providing courteous, efficient, and knowledgeable service to all guests by assisting with room reservations, activity reservations, and offering information about Grand Teton National Park, the GTLC properties, and the surrounding area.  The Reservations Supervisor is expected to exceed guest expectations with a consistent, pleasant demeanor, and attention to detail, as well as being knowledgeable of the park and surrounding area.  Equally as important, you are here to have some fun too!

 

The Reservations Supervisor—Tour Specialist responsibilities at Jackson Lake Lodge include, but are not limited to:

This position is also responsible for accurate input of rooming lists, entering room assignments in conjuncture with tour preferences, and exceptional detail orientation in organizing and communicating with tour leaders, contacts, and organizers.

  • Collaboration with the sales department in contracting tour groups
  • Accurate input of tour rooming lists
  • Organized assignment of rooms per tour preference
  • Timely, professional, and friendly communication with various organizers within a tour
  • Building packages based on contract details
  • Understand, or have a willingness to learn, basic accounting processes to ensure billing is accurate to contracted terms
  • Assist with training, support, and development of Reservations Agents

 

In addition, the Reservations Supervisor needs to be comfortable with and capable of performing the duties of a Reservations Agent/Vacation Coordinator, which include:

  • Answer phones in a timely and professional manner
  • Provide guests with information about Jackson Lake Lodge, Colter Bay Village, Jenny Lake Lodge, and all related camping
  • Assist guests with booking room and activity reservations for their stay
  • Direct guests to the correct extension whenever necessary
  • Use Visual One reservations system to capture guest stay details accurately
  • Take on daily tasks to ensure reservation accuracy and exceptional guest service
  • Maintain a positive and friendly attitude with both guests and coworkers in a high paced and busy atmosphere
  • Uphold all National Park Service and Brand Standard requirements

 

The “must haves” for this position include:

  • Previous reservations, sales and/or customer service experience
  • Extensive phone and computer efficiency
  • Proficiency with computer systems and a familiarity with keyboard and data entry
  • Previous data processing or computer experience
  • Must be familiar with keyboard and data entry
  • Fluent in both written and spoken English
  • An ability to function under heavy pressure with constant phone use, to perform repetitive tasks and disperse the same information repeatedly
  • An ability to coach agents in their guest service skills as needed
  • Ability to support the directives and direction of the company and reservations team
  • Highly detail oriented and organized with an ability to multi-task in quick paced, dynamic, and lively office
  • The ability to consistently act professionally in guest interactions
  • Strong verbal and written communication

 

We prefer that you additionally have the following skills / experience, but it is not required:

  • Previous supervisory experience
  • Knowledge of Grand Teton National Park and the Grand Teton Lodge Company
