Job Description:

This executive administrative assistant position in JPMorgan Global Wealth Management will directly support several Solutions team senior managers as well as indirectly support ED's, VP's, Associates and Analysts who work on their respective teams. A qualified candidate will be expected to provide administrative support to all facets of the daily business routine, while maintaining awareness of and sensitivity to confidential nature of our business and clients.

A qualified candidate must be highly organized, competent in key administrative skills, well-spoken, and comfortable in a fast-paced environment. This role will include a significant amount of accounts payable work for our alternative funds business, covering heavy volume phone calls, coordinating calendar meetings, planning travel schedules, processing expense statements and reserving conference rooms as necessary.

Responsibilities

* Good telephone and general clerical skills -- (take clear and concise phone messages)

* Receiving, monitoring, processing, and reporting on vendor invoices and tax bills/refunds (accounts payable)

* Calendar management -- strong ability to manage and handle hectic calendars; scheduling/confirming meetings, group schedules, vacations etc.

* Coordinate Travel arrangement/travel itineraries (air, hotel accommodations and ground transportation)

* Day-to-day business expense processing

* Scheduling conference rooms for internal and external meetings

* Faxing/scanning/courier/shipping requests

* Onboarding/Offboarding of new and departing employees

* Monitoring and distributing mail from team mailboxes

* Day-to-day administrative/general tasks includes documentation management

* Creation and maintenance of email distribution lists

* Liaison for ordering and re-ordering of all office supplies for the group

* Maintain familiarity with all policy and technology updates needed for the role

* Minimum of 3-5 years (Executive) Assistant experience

* Accounts Payable experience preferred

* Excellent organizational, time management and communication skills

* Excellent relationship management and interpersonal skills

* Responsive and reliable

* Exceptional follow-up and follow-through skills

* Ability to multi-task

* Flexible team player with ability to work independently

* Proficiency with Microsoft Office Suite (Word, Excel and PowerPoint), MS Outlook

* Bachelor's Degree preferred
